Major Contracting is seeking a Construction Operations Coordinator & Office Admin to support our civil construction operations in Detroit. You will balance office logistics, client relations, and financial tasks to keep projects on track.

The role requires excellent communication, strong organizational skills, and experience with MS Office and basic accounting. On-site, with a Monday–Friday schedule and competitive hourly pay.

Qualifications

  • 3+ years of progressive experience in office administration or operations support.
  • Strong interpersonal skills with vendors and clients.
  • Proficient in Microsoft Office; familiarity with QuickBooks or ERP software is a plus.
  • High level of organization and ability to manage deadlines in a fast-paced environment.

Responsibilities

  • Office Logistics & Administration: Direct daily business operations, including email management, scheduling, and administrative support.
  • Stakeholder Relations: Serve as liaison for clients and vendors with professional communication.
  • Financial Administration (Light Bookkeeping): AP/AR processing, invoice entry, and basic reconciliations.
  • Project Document Control: Maintain filing systems for contracts, site docs, and vendor records.
  • Operations & Dispatch Support: Aid communications between office and field teams; assist with scheduling.
  • Supply Chain Coordination: Manage supplier relationships for ordering and invoicing.
  • Facilities Management: Oversee office inventory and provide executive support to leadership.
  • Operational Reporting: Generate internal reports and track project expenses.

Major Contracting is seeking a high-caliber Construction Operations Coordinator & Office Admin to serve as the organizational backbone of our expanding civil construction firm in Detroit. This is a pivotal role designed for a versatile professional who excels in high-pressure environments and masters the balance of office logistics, client relations, and financial administration.

In this position, you will act as the strategic link between our field crews, executive leadership, and valued vendors. We are looking for a "multitasker-in-chief" who can streamline workflows, manage critical project documentation, and ensure our administrative engine runs as precisely as our field operations.

What You Will Be Doing

You will be essential to the daily rhythm and long-term organization of the company:

  • Office Logistics & Administration: Direct daily business operations, including high-level email management, complex scheduling, and comprehensive administrative support.
  • Stakeholder Relations: Act as the primary liaison for clients and vendors, ensuring professional, clear, and timely communication that upholds our company’s reputation.
  • Financial Administration (Light Bookkeeping): Execute essential accounting support, including AP/AR processing, invoice entry, and assisting with financial reconciliations.
  • Project Document Control: Establish and maintain rigorous filing systems for construction contracts, job-site documentation, and vendor compliance records.
  • Operations & Dispatch Support: Facilitate the communication flow between office and field teams, assisting with meeting coordination and job scheduling.
  • Supply Chain Coordination: Manage relationships with suppliers to ensure accurate ordering, invoicing, and documentation for project materials.
  • Facilities Management: Oversee office inventory and organization while providing executive-level administrative assistance to the leadership team.
  • Operational Reporting: Generate internal reports, track project expenses, and maintain meticulous digital and physical records.
What You Need To Succeed (Qualifications)
  • Experience: A minimum of 3 years of progressive experience in office administration, office management, or a high-level operations support role.
  • Communication Mastery: Exceptional interpersonal skills with a proven ability to interface professionally with diverse stakeholders.
  • Organizational Prowess: Elite multitasking abilities with a disciplined approach to managing deadlines in a fast-paced setting.
  • Technical Proficiency: Mastery of Microsoft Office (Word, Excel, Outlook). Hands-on experience with QuickBooks or similar accounting/ERP software is a significant advantage.
  • Industry Knowledge (Preferred): Prior experience within construction, contracting, or industrial service sectors is highly valued.
  • Accounting Fundamentals: A solid grasp of basic bookkeeping principles, specifically AP/AR and invoice processing.
  • Professional Mindset: A proactive, detail-oriented specialist who operates effectively with high autonomy.
  • Education: High School Diploma or GED required.
