At Archadeck Outdoor Living, North America's leading designer and builder of custom outdoor living spaces, we create beautiful outdoor environments including custom decks, screened porches, patios, pergolas, pavilions, and outdoor kitchens.

Our reputation has been built on exceptional craftsmanship and an outstanding customer experience. As our business continues to grow, we are looking for an organized, customer-focused professional to join our team.

The Construction Office Coordinator plays a critical role in supporting our Owner and Production Team by coordinating project administration, maintaining strong communication with homeowners, and helping ensure projects move efficiently from scheduling through completion.

We offer competitive pay, a collaborative work environment, opportunities for professional growth, and the chance to work with one of the most respected brands in the outdoor living industry.

Position Overview

The Construction Office Coordinator is responsible for supporting the day-to-day administrative and operational activities of our construction department. This is not a traditional administrative or receptionist position. Instead, this role serves as the operational hub of our production office - coordinating communication, supporting project execution, assisting with scheduling and documentation, and helping deliver an exceptional customer experience from the start of construction through project completion.

This position serves as the primary administrative liaison between our office, production team, subcontractors, and homeowners throughout the construction process. The ideal candidate is highly organized, communicates professionally, enjoys building relationships, and takes pride in helping projects stay on schedule while keeping customers informed every step of the way.

Responsibilities
  • Support the Owner and Production Team with daily administrative and operational tasks.
  • Coordinate construction schedules and maintain project timelines.
  • Provide proactive weekly updates to homeowners before construction begins, throughout the building process, and during project closeout.
  • Serve as a primary point of contact for homeowners by answering questions, communicating project status, and managing expectations throughout construction.
  • Process and track subcontractor and crew payment requests.
  • Maintain accurate project documentation and records within our project management software.
  • Coordinate permits, inspections, change orders, project documentation, and production files.
  • Monitor project progress and communicate scheduling changes or potential delays to customers and the production team.
  • Support project closeout activities, warranty documentation, and final customer follow-up.
  • Identify administrative or scheduling issues early and work with the production team to keep projects moving forward.
  • Assist with additional office and operational responsibilities as assigned.
Qualifications
  • Minimum of 3-5 years of administrative, office management, project coordination, or operations support experience.
  • Construction, remodeling, or home services experience preferred.
  • Outstanding customer service and relationship management skills.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Exceptional attention to detail and follow-through.
  • Proficiency with Microsoft Office and cloud-based software applications.
  • Experience with CRM or project management software is a plus.
  • Ability to work independently while collaborating effectively with a team.
  • Positive attitude, professionalism, and a strong sense of ownership.
What Makes Someone Successful in This Role
  • You enjoy creating exceptional customer experiences and building trust with homeowners.
  • You communicate proactively and keep everyone informed.
  • You are naturally organized and enjoy coordinating people, schedules, and details.
  • You anticipate problems and help solve them before they impact the customer.
  • You take ownership of your work and follow through on commitments.
  • You thrive in a fast-paced, team-oriented environment where no two days are exactly alike.

If you're looking for more than an office job and enjoy being at the center of a fast-moving construction business, we'd love to meet you. As our Construction Office Coordinator, you'll play an essential role in supporting our team, keeping projects organized, and delivering the level of communication and service that sets Archadeck apart.
