Job summary

Archadeck Outdoor Living is seeking an organized, customer-focused Construction Office Coordinator to support our Owner and Production Team. You will coordinate project administration, maintain homeowner communications, and help move projects from scheduling through completion.

The ideal candidate is highly organized, communicates professionally, enjoys building relationships, and takes pride in keeping projects on schedule while informing customers every step of the way.

Qualifications

• Minimum of 3–5 years of administrative, office management, project coordination, or operations support experience.
• Construction, remodeling, or home services experience preferred.
• Outstanding customer service and relationship management skills.
• Excellent verbal and written communication skills.
• Strong organizational skills with the ability to manage multiple projects simultaneously.
• Exceptional attention to detail and follow-through.
• Proficiency with Microsoft Office and cloud-based software applications.
• Experience with CRM or project management software is a plus.
• Ability to work independently while collaborating effectively with a team.
• Positive attitude, professionalism, and a strong sense of ownership.

Responsibilities

• Support the Owner and Production Team with daily administrative and operational tasks.
• Coordinate construction schedules and maintain project timelines.
• Provide proactive weekly updates to homeowners before construction begins, throughout the building process, and during project closeout.
• Serve as a primary point of contact for homeowners by answering questions, communicating project status, and managing expectations throughout construction.
• Process and track subcontractor and crew payment requests.
• Maintain accurate project documentation and records within our project management software.
• Coordinate permits, inspections, change orders, project documentation, and production files.
• Monitor project progress and communicate scheduling changes or potential delays to customers and the production team.
• Support project closeout activities, warranty documentation, and final customer follow-up.
• Identify administrative or scheduling issues early and work with the production team to keep projects moving forward.
• Assist with additional office and operational responsibilities as assigned.
