Qualifications

  • 5+ years of experience in contracts, sales operations, project administration, or a related field
  • Strong understanding of accounting principles, invoicing, purchase orders, and financial controls
  • Experience reviewing contracts, change orders, invoices, and project documentation
  • Strong Excel and Microsoft Office skills; QuickBooks and DocuSign experience preferred
  • Excellent written and verbal communication skills with strong attention to detail
  • Confident communicator who is comfortable questioning discrepancies and pushing back when necessary

Responsibilities

  • Prepare and review customer contracts based on sales estimates and project requirements
  • Translate quoted work into clear, accurate contractual scopes and billing requirements
  • Partner with Project Managers to ensure work performed aligns with approved contracts and change orders
  • Manage change orders, including reviewing pricing, subcontractor costs, approvals, and documentation
  • Oversee customer invoicing and ensure invoices accurately reflect contracts, change orders, labor, materials, and other project costs
  • Review purchase orders, subcontractor invoices, timecards, and supporting documentation for accuracy
  • Monitor accounts receivable and assist with customer payment questions and outstanding balances
  • Review specialized customer and government contract requirements and ensure compliance with billing terms
  • Maintain accurate contract, project, change order, and invoicing records
  • Provide reporting and financial documentation to leadership and Accounting
  • Oversee one employee and support process improvements across contract and billing operations

Job description

The Commercial Operations Manager serves as the key link between Sales and Operations, translating customer quotes into accurate contracts, work scopes, change orders, and billing requirements. This is a hands-on role responsible for ensuring that contracted work is properly documented, tracked, and ultimately invoiced.

The ideal candidate will have a strong understanding of accounting, contracts, invoicing, along with the confidence to identify discrepancies, ask questions, and hold internal teams accountable.

Key Responsibilities
  • Prepare and review customer contracts based on sales estimates and project requirements.
