Job summary

Pro-Pipe, a division of Shenandoah Industrial Solutions, seeks a Billing Specialist based in Boca Raton to manage invoicing for Southwest branches. You will prepare invoices in Sage and AIA-style pay apps, verify billing accuracy, and support timely payments.

You will collaborate with branch managers, superintendents, and accounting to confirm work completion, resolve discrepancies, and maintain billing trackers. Prioritize timely, compliant submissions and reporting.

Qualifications

• 1+ years of billing, accounts receivable, or construction accounting.
• Working knowledge of progress billing, AIA pay applications, retainage, and lien waivers.
• Strong attention to detail and ability to reconcile quantities and dollars across multiple sources.
• Proficiency in Microsoft Excel, including pivot tables and spreadsheet reconciliation.
• Clear, professional communication with customers, field teams, and internal departments.
• Strong organizational skills to manage recurring deadlines across multiple customers and branches.
• Experience with Sage accounting software preferred but not required.
• Experience billing utilities, municipalities, or general contractors, including via vendor portals, preferred.
• Background in construction, underground utilities, or sewer and pipeline services preferred.

Responsibilities

• Review project contracts in Job Manager to determine billing schedules, invoice deadlines, retainage, and progress billing requirements.
• Prepare customer invoices in Sage and AIA-style pay applications in Excel, reconciling totals across pay application worksheets and Job Manager.
• Apply contract requirements, including retainage, signed lien waivers, and purchase order numbers.
• Compile invoice backup documentation, including daily work reports, QC deliverable summaries, dump tickets, task orders, and tracking spreadsheets.
• Verify footage-based billing against video deliverable summary reports and reconcile quantities against customer dashboards and Pay estimates.
• Submit invoices through customer-specific methods, including email, vendor portals, and required customer templates.
• Track open and unbilled projects, follow up with branches on completed work, identify discrepancies, and coordinate resolutions with branch managers and QC teams.
• Maintain customer billing trackers, monitor outstanding items, and issue credit memos as needed.
• Prepare monthly materials inventory reports by reviewing field asset data and applying current vendor pricing.
• Generate monthly customer revenue reports in Sage, analyze revenue by draw number, and reconcile with annual sales forecast.
• Distribute monthly reports to leadership and corporate accounting by the first week of each month.
