The Construction Administration Coordinator supports project managers by ensuring project documentation is accurately processed, tracked, and communicated throughout the bidding and construction phases.
Compensation for this position is $24.00 - $29.00 an hour, commensurate with experience, education and certifications. The provided range is a good faith estimate based on the requirements described within the job description. Support Project Managers with document workflows during the Construction Administration phase of design projects.
Coordinate submittal and RFI workflows across multiple platforms (e.g., Procore, Auto Cloud Construction, ECMS), ensuring accurate logging, routing, and tracking within the firm’s project management system.
Monitor review timelines and follow up with project team members to ensure timely completion and response to project documentation.
Manage multiple projects concurrently, balancing priorities to support timely document coordination and delivery.
Track and support the review of change order proposals and prepare change orders.
Maintain accurate and up-to-date project documentation within firm systems.
Prepare project reports to support monitoring of construction phase progress.
Support construction meetings, including coordination and documentation as needed.
Communicate with project teams, clients, and contractors to facilitate timely document flow and responses.
Provide general administrative and project support for Project Managers and project teams.
Perform quality assurance/quality control (QA/QC) checks to ensure project documentation is accurate, complete, and consistent with project requirements.
Perform other related duties as assigned.

Qualifications Required
High school diploma or GED equivalent is required.
Familiarity with construction industry.
4 years of administrative experience in an architectural, engineering, or construction firm.
Qualifications Preferred
A ssociate or bachelor's Degree in a business/accounting/finance-related field.
Certified Design Firm Administrator (CDFA).
Construction Documents Technologist (CDT).
Construction Contract Administrator (CCCA).
Work is performed within a general office environment 95% of the time. Work is generally sedentary in nature but may require occasional standing and walking. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. within the office environment.
