Ferguson Electric’s Highway Division is seeking a detail-oriented and highly organized individual to support the administrative, compliance, payroll, invoicing, and reporting functions for highway electrical construction projects. This role plays a critical part in ensuring CTDOT projects remain audit-ready, subcontractor compliance is maintained, and project teams receive accurate and timely administrative support.

The ideal candidate will be experienced in construction administration, certified payroll processing, and compliance coordination, with the ability to manage multiple deadlines in a fast-paced environment. This position works closely with Project Managers, accounting personnel, subcontractors, vendors, and CTDOT systems.

Responsibilities
  • Manage weekly certified payroll collection, review, and submission through AASHTOWare Project (AWP), COMPASS, and related CTDOT systems
  • Process and maintain compliance documentation including CLA-12 forms, PACMODs, DBE reporting, labor markup insurance documentation, OSHA records, and No Work Week submissions
  • Monitor subcontractor compliance requirements including certified payrolls, insurance certificates, OSHA documentation, and ongoing follow-up for outstanding items
  • Coordinate invoicing and payment workflows, including compliance verification, PM approvals, Friday check runs, and lien waiver tracking
  • Review vendor and purchase order activity to identify unpaid invoices, missing POs, and budget overruns
  • Coordinate field office lease setup, monthly payments, and internal payment requests
  • Organize and manage weekly Project Manager meeting agendas, meeting documentation, and distribution through OneNote and SharePoint
  • Track police and flagger invoices by project and prepare DOT reimbursement submissions
  • Maintain training and certification records including ATSSA and UConn Traffic Technician documentation
  • Maintain active project listings, contact databases, and project billing status reports
Qualifications
  • Minimum of 3 years of experience in construction administration, project coordination, or compliance management
  • Certified payroll experience and knowledge of prevailing wage requirements required
  • Strong proficiency in Microsoft Excel, Word, Outlook, OneNote, and SharePoint
  • Ability to work independently while managing multiple deadlines and priorities
  • Excellent organizational skills with strong attention to detail and follow-through
  • Strong communication and coordination skills when working with subcontractors, vendors, field personnel, and project teams
Preferred Qualifications
  • Experience with AASHTOWare Project (AWP) and CTDOT COMPASS systems
  • Familiarity with CTDOT compliance processes including CLA-12s, PACMODs, and DBE reporting
  • Knowledge of AIA billing, lien waivers, and subcontractor insurance compliance
  • Notary commission preferred
