Job summary

Gilliatte General Contractors, Inc. in Indianapolis seeks an experienced Accountant to support financial operations for our growing construction company.

This role focuses on AIA billing, job costing, accounts payable, project accounting, and payroll backup, partnering with project managers and operations teams to ensure accuracy and timely reporting. The ideal candidate has construction accounting experience, strong Excel skills, and a detail-oriented mindset.

Qualifications

• Associate or bachelor’s degree in accounting, finance, or related field preferred.
• Minimum of 3 years accounting experience, preferably in construction, contracting, or project-based industries.
• Hands-on experience with AIA billing, job costing, and accounts payable.
• Strong proficiency with Microsoft Excel and accounting software.
• Excellent attention to detail, organization, and problem-solving skills.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Responsibilities

• Prepare and submit monthly AIA billing applications, progress billings, and customer invoices.
• Track contract values, change orders, retainage, and project billing status.
• Partner with project managers to obtain supporting documentation and ensure timely billing submissions.
• Monitor accounts receivable and assist with collections activities.
• Maintain accurate job cost records across multiple projects.
• Review labor, materials, equipment, and subcontractor costs for proper allocation and reporting.
• Assist with project budgeting, forecasting, and profitability analysis.
• Prepare and analyze job cost reports to support management decision-making.
• Process vendor invoices and subcontractor payments accurately and on schedule.
• Match invoices to purchase orders and assign appropriate job cost and general ledger coding.

The accountant will be responsible for managing AIA billing, job costing, accounts payable, project accounting, and payroll backup support while partnering closely with project managers and operations teams. What You'll Do

Construction Billing & Accounts Receivable

• Prepare and submit monthly AIA billing applications, progress billings, and customer invoices.
• Track contract values, change orders, retainage, and project billing status.
• Partner with project managers to obtain supporting documentation and ensure timely billing submissions.
• Monitor accounts receivable and assist with collections activities.

Job Costing & Project Accounting

• Maintain accurate job cost records across multiple projects.
• Review labor, materials, equipment, and subcontractor costs for proper allocation and reporting.
• Assist with project budgeting, forecasting, and profitability analysis.
• Prepare and analyze job cost reports to support management decision-making.

Accounts Payable

• Process vendor invoices and subcontractor payments accurately and on schedule.
• Match invoices to purchase orders and assign appropriate job cost and general ledger coding.
• Reconcile vendor statements and resolve payment discrepancies.
• Support lien waiver administration, vendor compliance requirements, and payment tracking.

General Accounting

• Assist with month-end and year-end close activities.
• Prepare journal entries and account reconciliations.
• Support audits and financial reporting requirements.
• Serve as a backup for weekly payroll processing.
• Perform additional accounting and administrative duties as needed.

Requirements

Required Qualifications

• Associate or bachelor's degree in accounting, Finance, or a related field preferred.

• Hands‑on experience with AIA billing, job costing, and accounts payable.
• Strong proficiency with Microsoft Excel and accounting software.

Preferred Qualifications

• Strongly preferred experience with construction accounting software.
• Understanding of retainage, change orders, work-in-progress (WIP) schedules, and percentage-of-completion accounting.
• Experience supporting project managers, superintendents, and field operations teams.
