Responsibilities

  • Conduct thorough conflicts checks using internal and external databases.
  • Analyze results to identify actual, potential, and imputed conflicts.
  • Prepare detailed conflict reports with findings and risks.
  • Draft waiver letters and implement ethical screens with attorneys.
  • Maintain accurate records of conflicts and resolutions.
  • Stay current on conflict of interest rules and regulations.
  • Manage the initial client intake: answer inquiries, schedule consultations, collect information.
  • Open new client files and ensure documentation is complete and organized.
  • Prepare engagement letters and client communications.
  • Input and maintain client data in the practice management system.
  • Coordinate with attorneys and staff for onboarding new clients.

Conflicts and Intake Coordinator - Hybrid - Law firm experience is required!

This critical role is responsible for ensuring the firm's compliance with conflict of interest rules and managing the client intake process. The ideal candidate will have a strong understanding of legal ethics, excellent research and analytical skills, and a commitment to providing exceptional client service.

Responsibilities:
  • Conflicts Checking:
    • Conduct thorough conflicts checks using various resources, including internal databases, external databases (e.g., LexisNexis, Westlaw), and other available information.
    • Analyze conflict check results to identify potential conflicts of interest, including actual, potential, and imputed conflicts.
    • Prepare detailed conflict reports summarizing findings and potential risks.
    • Collaborate with attorneys and staff to resolve conflicts, including drafting waiver letters and implementing ethical screens.
    • Maintain accurate and up-to-date records of conflict checks and resolutions.
    • Stay current on relevant conflict of interest rules and regulations.
  • Client Intake:
    • Manage the initial client intake process, including answering inquiries, scheduling consultations, and collecting necessary information.
    • Conduct initial client interviews to gather relevant case details and assess potential legal issues.
    • Open new client files and ensure all required documentation is completed and organized.
    • Prepare engagement letters and other client communication documents.
    • Input and maintain client data in the firm's practice management system.
    • Coordinate with attorneys and staff to ensure smooth onboarding of new clients.
Qualifications:
  • Bachelor's degree preferred;
  • Experience in a law firm environment, serving in a conflicts or intake role.
  • Strong understanding of legal ethics and professional responsibility rules, particularly those related to conflicts of interest.
  • Proficiency in legal research databases (e.g., LexisNexis, Westlaw).
