The Confidential Executive Assistant serves as the primary administrative and data-entry anchor for senior leadership staff within the 55th Wing Office of the Staff Judge Advocate (55 WG/JA). Operating within a highly sensitive military legal environment, this role requires exceptional organizational structure, flawless attention to deadlines, and absolute professional discretion.
Administrative Support: Execute general data-entry tasks, manage multi-line phone systems, answer email queries, and process in-person requests with exceptional telephone etiquette and customer service skills.
Calendar & Deliverables Management: Maintain executive calendars, coordinate meetings and conferences, track upcoming administrative deadlines, and manage formal task schedules.
Document Control: Prepare, edit, scan, upload, and maintain official emails, written correspondence, legal documents, reports, and presentation briefing materials.
Records Maintenance: Ensure all electronic and physical files are maintained and archived in strict compliance with the Air Force Records Information Management System (AFRIMS) and Privacy Act schedules.
Discretionary Security: Handle and safeguard sensitive personnel documents, strategic information, and Protected Health Information (PHI) in strict alignment with HIPAA and Privacy Act regulations.
Stakeholder Liaison: Act as the primary point of contact between senior legal leadership, installation personnel, vendors, and external agencies.
U.S. Citizenship: Required.
Active Security Clearance: Active Secret level or higher.
Education: Associate’s Degree or higher.
Office Experience: Minimum of one (1) year of dedicated clerical or data-entry experience obtained within a formal office setting.
Military Experience: Minimum of one (1) year of experience working in a military environment.
Software Proficiency: Demonstrated expertise in Microsoft Office Suite programs (Outlook, Word, Excel, PowerPoint, and Teams).
Language: Ability to read, understand, speak, and write English fluent to communicate effectively with installation staff both in person and via telephone.
Military Environment: Minimum of one (1) year of previous experience working inside a U.S. military environment is strictly required.
Education: An Associate’s Degree (in any field) is the mandatory minimum educational baseline.
