Job summary

Jobtailor is seeking a results-driven Conference Services Lead for live events in Beaverton, OR. You will oversee end-to-end operations, on-site execution, safety compliance, and attendee experience, coordinating planners, vendors, and internal teams to deliver high-profile conferences.

Applicants should have 2+ years in conference services, familiarity with Momentus, CVENT, WebEx, and/MS Teams, and hold or pursue CMP/CGMP certifications.

Qualifications

  • Minimum of 2 years supporting conference or events services
  • Knowledge of CVENT, WebEx, MS Teams, and various virtual meetings strongly preferred
  • Certified Meeting Planner and/or Certified Government Meeting Planner certification preferred
  • Experience with Momentus, Delphi, Opera, or other event management systems

Responsibilities

  • Serve as the primary planner-facing lead for assigned conference centers and venues
  • Manage event readiness, operational coordination, and on-site execution
  • Act as the single point of accountability during assigned coverage hours
  • Coordinate communication between planners, internal teams, vendors, and partners
  • Validate event details in Momentus, including room setups, service requirements, timelines, and special requests
  • Review schedules and Event Orders to identify conflicts, safety concerns, and opportunities to improve layouts and attendee experience
  • Coordinate large-scale, multi-day, and high-profile events
  • Lead building and meeting room readiness, including quality, safety, cleanliness, and hospitality standards
  • Conduct operational rounds covering docks, loading zones, fire lanes, parking, and high-traffic areas
  • Oversee wayfinding, room signage, printed materials, building communications, operating hours, and staffing coverage
  • Collaborate with Event Operations Coordinators on custodial deficiencies, furniture, and infrastructure
  • Approve and coordinate custom build-outs, elevated work platforms, scissor lift usage, and high-access operations
  • Manage event supplies, operational inventory, warehouse items, and high-value cage assets
  • Coordinate equipment and supply movement for event setups, breakdowns, and venue resets
  • Meet with the Director of Conference Services and stakeholders to communicate updates and align priorities
  • Drive continuous improvement through data-driven insights and cross-functional collaboration
  • Produce, analyze, and report operational data and performance metrics
  • Create and distribute daily operational reports
  • Develop and maintain SOPs, operational guidelines, and project documentation
  • Monitor safety, logistics, and guest hospitality throughout events
  • Support attendee flow, line management, ushering, and guest experience for high-volume events
  • Serve as an on-site problem solver during live events
  • Perform additional duties assigned by the Conference Service Director

Requirements
  • Minimum of 2 years supporting conference or events services
