BETAH Associates, Inc. seeks an experienced events professional to coordinate pre-meeting, on-site, and post-meeting planning for conferences, meetings, and exhibits.

The role will manage budgets, vendor coordination, speaker arrangements, and exhibit design, working primarily on-site at a federal agency in downtown Washington, DC. You will need strong organizational skills, effective communication, and the ability to manage multiple tasks under pressure, with eligibility for required security

Responsibilities

  • Manages all logistical requirements for meetings, conferences, and trade show exhibits, including budget development.
  • Verifies and approves vendor invoices.
  • Monitors vendor price justifications and accounts payable/receivable for compliance with regulations.
  • Recruits and confirms speakers and consultants for client programs.
  • Assists in design/selection of exhibit booths; designs layouts and arranges support services.
  • Coordinates booth setup/teardown, drayage, AV and equipment, promos, staffing.
  • Supports efficient execution of conference management tasks.
  • Assists Treasury Dining Room operations, including catering collaboration.
  • Manages a broad range of events for government and private organizations.

Position Requirements
Minimum Job Requirements
  • Ability to manage multiple tasks effectively.
  • Ability to work independently, as a self-starter, and within short timeframes.
  • Ability to work as part of a team.
  • Good computer skills in a Windows environment (MS Office - Word, Excel).
  • Skilled at developing and managing budgets.
  • Knows government contracting and Federal Travel Regulations.
  • Effective communicator both in writing and orally.
  • Exceptionally skilled in organizing multiple, simultaneous tasks with a strong attention to detail.
  • Has a professional demeanor and appearance and can maintain utmost composure under pressure.
Education and Experience
  • BS or CMP and 5 years of event planning experience.
Job Responsibilities and Duties:
  • Manages all logistical requirements for meetings, conferences, and trade show exhibits, including budget development.
  • Verifies and approves vendor invoices.
  • Monitors vendor price justifications, accounts receivable and payable, and ensure conformance to Federal Procurement and Travel Regulations.
  • Recruits and confirms speakers and consultants for client programs.
  • Assists in the design and selection of exhibit booths.
  • Designs layout of booth and arranges for all support services (e.g., set up and tear down, drayage, audiovisual and computer equipment, promotional materials, and staffing).
  • Promotes efficient and effective execution of all conference management tasks.
  • Assist in the operation of the Treasury Dining Room (TDR), which provides all the in-house catering at Treasury. Assistance in the TDR can include collaboration on catering menus, catering design schemes and occasional front‑of‑house assistance.
  • Able to manage a broad range of events, including meetings, conferences, shows, and exhibits for both government and private industry organizations.
Additional Information

Position will be located on-site at a federal agency in downtown Washington, DC. To qualify, the candidate must be able to obtain the required security clearance.
