As a Concierge Administrative Assistant, you'll assist the Director of Member Services in delivering a world-class experience to our members and guests thought Concierge services while maintaining thorough, effective and proactive communication and coordination. In addition, this teammate will assist all Concierge staff in enhancing the Member Services by providing up-to-date information for on and offsite events and activities, making reservations, drafting various member and group communications and digital website tasks.
What We're Looking For
- Minimum of two (2) years of experience in administrative or office support, including filing, computer skills, and ordering.
- Minimum of one (1) year of administrative experience in Food & Beverage, Concierge, hotel, private club, and/or resort environments .
- Excellent verbal and written communication skills. Must have command of letter writing and document preparation skills, including grammar and style according to normally accepted standards.
- Notary Public Certification required. (Please note, this can be obtained upon hire).

JOB DETAILS
Responsibilities:
- Assist Director of Member Services with drafting member communications, to include addressing member feedback and needs pertaining to Concierge services, social club operations, member group questions, and other inquiries.
- Distribute schedules, social club & dining calendars, and other written materials to all teammates
- Answer incoming calls in accordance with Desert Mountain Service Standards. Maintain Concierge desk coverage as needed in all locations. Provide Member notary and other services as needed.
- Ensure appearance, upkeep, and cleanliness of all clubhouse facilities, to include all desk locations, back-office area at C/G and shared spaces. Ensure the club is clean, welcoming, and presentable.
- Stay abreast and promote all upcoming events and activities at the Clubhouses, maintain most current copy of the "Master Event list" spreadsheet.
- Maintain supplies and materials for the Member Services office operation and order as needed.
- Keep records of COIs and forms for vendors, including those with direct relationships to Desert Mountain Services such as auto detailing, speaker series contracts, etc.
- Communicate and answer questions regarding restaurant and club events, mountain wide in a professional and courteous manner. Direct feedback, questions, and comments to appropriate manager or department.
- Maintain "Lost and Found" for the membership through Club Operations
- Assist with registration during special club activities as needed, including outside of Concierge Hours of Operation and/or on weekends.
- Build and maintain good relationships with local vendors (i.e., florists, limousine services, etc.).
- Inform Director of Member Services of all items needing attention to include concerns by members, vendors, and guests.
- Point person for DM Fine Wine Club and communications, to include quorum information and monthly Fine Wine Club dinner invites and updates. Maintain the DMFWC Member roster.
- Work with the Marketing & Communications Team to ensure all built events have flyers, menus, and 4-up cards. Post these around the clubhouse, online, and wherever else required.
- Submit Member Services Bullet Points in the monthly Senior Leadership packet.
