Job summary

Concordia Wireless is seeking a highly organized Compliance & Licensing Coordinator, Construction to join our Carol Stream, IL office. You will manage licensing applications, renewals, vendor documentation, and corporate compliance initiatives.

This role supports safety and insurance documentation for nationwide projects and requires proactive research of state requirements. The ideal candidate will maintain licensing trackers, prepare SOPs, review contracts, and coordinate with internal teams

Qualifications

• Expert level with AI platforms (e.g., ChatGPT) to frame problems and package findings.
• Experience with Avetta contractor and safety compliance software.
• Experience with contract review and redlining.
• Written SOP documentation; construction industry experience preferred.
• Knowledge of General Contractor application process in municipalities.
• Strong research and problem-solving skills.
• Excellent organizational and follow-up skills.
• Strong attention to detail with regulatory documents.
• Ability to manage multiple applications, deadlines, and issues simultaneously.

Responsibilities

• Manage applications and renewals for General Contractor and Electrical Contractor licenses.
• Research state licensing requirements, renewal deadlines, continuing education, and fees.
• Coordinate signatures, affidavits, certificates, corporate documents, and supporting docs.
• Maintain a master licensing tracker with status, expiration, renewal dates, responsible individuals.
• Create SOPs to support corporate compliance and licensing initiatives.
• Review and redline MSAs and NDAs when required.
• Manage contractor compliance requirements from submission through approval.
• Gather documentation from internal departments, insurers, and other stakeholders.
• Prepare and submit documentation through the vendor portal.
• Coordinate with teams to obtain W-9s, COIs, bonds, and other forms.
• Ensure evidence of insurance coverage and coordinate bonds as needed.
• Maintain centralized compliance tracker and standardized templates.

We are seeking a highly organized and detail-oriented Compliance & Licensing Coordinator, Construction to assist with compliance activities, safety certifications, contract review/revision, state licensing, SOPs, and trade shows.

The ideal candidate is proactive, comfortable researching state-specific requirements, able to manage multiple deadlines simultaneously, and capable of following an issue from initial request through final resolution.

This is an in-office role in Carol Stream, IL.

Pay Range: $26.00 - $30.00 per hour plus annual bonus

Factors, such as but not limited to, geographical location, relevant experience, education, and skill level may impact the pay for this position.

Key Responsibilities

Licensing

• Manage applications and renewals for General Contractor and Electrical Contractor licenses in municipalities.
• Research state licensing requirements, renewal requirements, continuing education requirements, fees, and deadlines.
• Coordinate signatures, affidavits, certificates, corporate documents, and supporting documentation.
• Maintain a master licensing tracker showing status, expiration dates, renewal dates, responsible individuals, fees, and outstanding items.

SOPs

• Create standard operating procedures to support corporate compliance and licensing initiatives.

Contracts

• Review and redline MSA (Master Services Agreements) and NDA (Non Disclosure Agreements) contractual documents when required

Corporate Compliance

• Manage the company's contractor compliance requirements from initial submission through approval and ongoing maintenance.
• Review requirements and translate them into clear internal checklists and action items.
• Gather required documentation from internal departments, management, insurance providers, bonding companies, safety personnel, IT/cybersecurity personnel, and other stakeholders.
• Prepare and submit documentation through the vendor portal.
• Complete or coordinate required forms such as W-9s, insurance documentation, certificates of insurance (COIs), bonds, and other customer-required forms.
• Obtain and maintain evidence of required general liability, workers' compensation, automobile, umbrella, and other insurance coverage, as applicable.
• Coordinate bonds when required and track their status through completion.
• Collect and maintain documentation demonstrating compliance with field safety requirements, including safety programs, training records, certifications, policies, and other evidence requested by the customer.
• Coordinate with company personnel to obtain documentation demonstrating compliance with cybersecurity and information-security requirements, particularly relating to customer documents and information.
• Review documents for completeness, consistency, signatures, dates, coverage limits, and other required information before submission.
• Identify missing or incomplete requirements and follow up with the appropriate internal or external party.
• Maintain a centralized compliance tracker showing each requirement, responsible party, submission date, expiration date, and current status.
• Develop and maintain standardized checklists, templates, and procedures to make the compliance process repeatable and efficient.

Certifications

• Secure and organize safety certifications for 100+ construction personnel including assigning required classes for renewals.

Qualifications

• Expert level of skill utilizing ChatGPT or other AI platforms to effectively frame problems, assess content, and package findings
• Experience utilizing Avetta contractor and safety compliance software
• Experience with contract review and redlining
• Have written SOP documentation; construction industry experience preferred
• Knowledge of the General Contractor application process in varying municipalities
