Job summary

Catania Oils, a fourth-generation family business in Ayer, MA, seeks a Compliance Assistant. You will review supplier documentation, maintain registers, and manage e-files. You will handle controlled documents in our SOP/SSOP framework and support change orders.

The role leverages detail orientation, analytical skills, and strong communication to ensure compliance and smooth operations in a fast-paced environment.

Qualifications

  • Associate degree in Business or related field, or high school diploma with 2 years related experience.
  • Minimum 1 year experience in a relevant field.
  • Familiar with software portal environments and data entry.
  • Document review and administrative support skills.
  • Knowledge of food manufacturing/regulatory topics is a plus.

Responsibilities

  • Review supplier documentation in Trace Gains portal and maintain supplier registers with expiration dates.
  • Fulfill customer requests for documentation via emails or portals.
  • E-file records and maintain controlled documents in DC software (SOPs, SSOPs, Forms).
  • Create or revise documents through Change Order processes.

What You’ll Do
  • Reviewing supplier documentation in Trace Gains portal (Maintain Supplier Registers with document expiration dates and make sure that all supplier docs are up to date)
  • Fulfill customer Requests for Documentation (emails/customer portals)
  • E-filing records
  • Maintain Controlled Documents in our DC software - SOPS, SSOP's, Forms, Work Instructions, etc - Create/Revise through Change Order Process
Requirements
What You Bring
  • Education minimum of an Associate’s Degree in Business or a related field, or high school diploma/GED with 2 years of equivalent work related experience
  • Minimum of 1 year experience in a relevant field
  • Familiar working in a software portal environment (data entry)
  • Document review skills
  • Administrative support skills
  • Food manufacturing/pharmaceutical/legal/academia/regulatory industry experience is a plus.
  • Detail oriented with excellent follow-up skills
  • Strong analytical and computer skills
  • Knowledge of manufacturing, food processing, pharmaceutical, HACCP, GMP’s, SSOP’s and FSMA’s Regulatory Landscape is a plus.
  • Must be able to juggle multiple competing projects
  • Excellent verbal, written communication, and interpersonal skills
  • Proven ability to prioritize and complete multiple projects
  • Ability to read and interpret documents such as food safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to follow instructions furnished in written, oral, or diagram form.
