Job summary

Caring Hands Animal Hospital - Rockville is seeking a skilled Veterinary Receptionist to be the primary contact for clients and their pets. The role blends administrative precision with warmth, handling high-volume front desk tasks and sensitive conversations with compassion.

Ideal candidates have at least 1 year of veterinary receptionist experience and familiarity with practice management software. This is a part-time position ~20–25 hours/week with some Saturday shifts.

Qualifications

• Minimum 1 year of experience as a veterinary receptionist.
• Experience with veterinary practice management software (Cornerstone, Avimark, ImproMed, eVetPractice, or ezyVet preferred).
• Knowledge of veterinary medical terminology and vaccination protocols.
• Proficiency in appointment scheduling, multi-line phone management, and payment processing.
• Proven customer service skills with composure in high-volume client interactions.
• Strong verbal and written communication, active listening, and conflict resolution.

Responsibilities

• Greet and check in clients and patients, verify and update medical records, and confirm appointment details using practice management software.
• Answer and manage a multi-line telephone system, respond to inquiries about scheduling, refills, records, and hospital information.
• Process payments, post charges, explain invoices, and schedule follow-ups at checkout.
• Communicate medical information accurately and compassionately, including end-of-life discussions.
• Maintain accurate EMR and timely data entry in PIMS so patient flow remains efficient.
• Coordinate with veterinarians, technicians, and staff to relay messages and flag urgent cases.
• Keep reception area and waiting room clean and welcoming.
