Job summary

Jax Spine & Pain Centers is seeking a compassionate New Patient Coordinator to join our team. You will be the first contact for prospective patients, guiding them through intake and scheduling while ensuring a positive experience and efficient processes.

The ideal candidate will have strong communication, organizational skills, and at least one year of medical scheduling or healthcare admin experience, with familiarity in EMR systems and insurance verification.

Qualifications

• HS diploma or equivalent required.
• At least 1 year of medical scheduling or healthcare administration experience preferred.
• Experience with EMR systems; eClinicalWorks preferred.
• Knowledge of insurance verification, referrals, and prior authorizations preferred.
• Strong customer service and interpersonal communication skills required.
• Excellent organizational skills with strong attention to detail.

Responsibilities

• Serve as the primary contact for new patient inquiries via phone, email, and referrals.
• Schedule new patient appointments ensuring provider availability and appropriate types.
• Enter patient demographics, insurance, and referrals into the EMR.
• Verify insurance eligibility and determine referral/authorization requirements.
• Explain policies, expectations, and required documentation to patients.
• Coordinate receipt of medical records, imaging, and referrals before appointments.
• Collaborate with providers and staff to facilitate timely scheduling.
• Maintain accurate patient records and HIPAA compliance.
• Respond promptly to patient questions with professionalism and empathy.
• Monitor referral work queues and follow up on pending referrals.
• Assist with additional administrative duties as assigned.
