We’re looking for a friendly, empathetic, organized, and collaborative team member to join our Community Outreach department – a growing part of ANNA’s mission to connect families with the care and information they need.

In this role, you’ll become a trusted point of contact for caregivers, helping them feel informed, welcomed, and supported from the moment they reach out. Over time, you’ll take the lead on coordinating and conducting family intakes and tours, supporting and guiding families as they begin their journey with us. You’ll also contribute to resource development and events that uplift and engage our community.

Key Responsibilities

Family Support & Intake Coordination:

  • Serve as the first point of contact for families, providers, and community members reaching out to learn about ANNA’s services
  • Provide clear, empathetic information and guidance to new and prospective families
  • Triage other incoming calls and messages, directing them to the right person or department
  • Schedule intake appointments and family tours
  • Conduct intake calls and tours using clear, established processes (training and mentorship provided)
  • Support coordination of transportation requests (e.g., PT-1) for eligible families

Administrative & Data Entry:

  • Collect and enter client demographic, referral, and insurance information
  • Send and receive documentation securely and in a timely manner
  • Maintain accurate and up-to-date client records using internal tools
  • Track inquiries and referrals to ensure timely follow-up

Resource Development & Event Planning Support:

  • Collaborate with the ANNA team to create, enhance, and distribute family-friendly materials related to autism, neurodiversity, and local resources
  • Support planning and facilitation of quarterly family events and community outreach initiatives

Responsibilities may be added or adjusted over time based on the needs of the team and the unique strengths, interests, and goals of the person in this role. At ANNA, we believe in playing to peoples’ strengths and shaping roles collaboratively.

Qualifications

We’re looking for someone who is:

  • Empathetic and people-centered, with a strong desire to support families through what can be an overwhelming and emotional process
  • Organized and detail-oriented, with the ability to manage multiple tasks, follow up reliably, and prioritize effectively
  • Collaborative and communicative, comfortable working closely with teammates across departments
  • Flexible and eager to learn, especially in a growing organization with evolving processes

Preferred Experience and Skills:

  • Prior experience in a caregiving, customer service, administrative, or family support role
  • Comfortable with frequent phone, email, and in-person communication
  • Experience with scheduling, communication, and data entry tools – familiarity with Zoom, Calendly, SharePoint, or client management systems is a plus
  • Interest in neurodiversity, autism services, family support, and/or community-based work
  • Bilingual or multilingual (Portuguese and/or Spanish strongly preferred)
