Walsh Jesuit High School is seeking a Community Engagement & Event Coordinator responsible for planning and executing Walsh Jesuit High School’s annual Warrior Gala and other special events that advance the school’s goals for fundraising, stewardship, and engagement. This position is deeply rooted in relationship building, parent and volunteer engagement, vendor management, and stewarding the mission of Walsh Jesuit through meaningful, mission-aligned experiences. Reporting to the Executive Director of Development, the Community Engagement & Events Coordinator plays a vital role in the cultivation of donors, sponsors, parents, and volunteers. This is a full-time, 12-month position.
Major Responsibilities:
I. Warrior Gala Management
- Plan and execute all aspects of the Warrior Gala, including logistics, budgeting, timelines, and volunteer management. Through thoughtful event design and execution,
- ensure all attendees feel welcomed and valued.
- Cultivate, recruit, and train chairpersons and committee members to ensure effective leadership and participation.
- Manage corporate sponsorship efforts, identifying new opportunities, maintaining relationships with past sponsors, and achieving sponsorship goals.
- Coordinate solicitation committee to curate auction items, gifts, and donations that yield a high net to meet financial targets.
- Collaborate with vendors, caterers, and contractors to deliver a seamless event experience.
- Develop and oversee event marketing materials such as invitations, programs, and digital promotions.
- Track and report on donor activity and event outcomes.
II. Advancement and Alumni Events
- Plan and support fundraising and stewardship events, such as donor recognition receptions, parent gatherings hosted in the community, special receptions related to major campaigns or initiatives.
- Collaborate with Advancement staff to coordinate logistics, including venue selection, invitations, catering, and volunteer management while fostering a sense of hospitality and gratitude at each event to strengthen relationships with attendees.
- Serve as the primary contact for maintenance, vendors and contractors supporting Advancement events.
- In collaboration with the Alumni Director, organize and manage Alumni Weekend activities, including class reunions, networking events, Alumni Golf Outing, and recognition ceremonies.
III.
Special Events Support
- Provide event planning support for school-sponsored activities, including but not limited to open house events, graduation ceremonies, parent and student orientation events, volunteer appreciation gatherings, and athletic award events.
- Ensure all events align with the school’s mission and values.
- Collaborate with faculty, staff, maintenance, and administration to coordinate logistics and communication.
IV. Faith Formation
- Embrace, display, and support Catholic/Christian values and spiritual formation.
- Regular participation in Ignatian formation activities including the school’s formal formation program, school masses, retreats, and other activities/events as scheduled.
Core Qualifications:
- Bachelor’s degree in communications, marketing, event planning, or related field
- Experience with planning large-scale fundraising events and/or donor relations, preferably in a non-profit or educational setting.
- Strong project management skills, with the ability to handle multiple tasks and deadlines.
- Excellent interpersonal and communication skills, including the ability to build and maintain relationships.
- Proficiency in donor databases (e.g., Raiser’s Edge NXT) and Microsoft Office Suite.
- Ability to work evenings and weekends as needed for events.
- Embrace and display Catholic/Christian values and spiritual life.
Compensation And Benefits
Walsh Jesuit is a wonderful community and, as a full time employee, the Community Engagement & Special Event Coordinator will be eligible to participate in medical, dental, vision, life, and disability insurance immediately upon employment. A 401k plan with matching contributions is available within the first month of employment along with generous paid time off.
