Job description

The annual salary for this position ranges from $52,200 to $56,000. The final offer will be commensurate with the candidate’s relevant experience and qualifications.

Purpose of Position

The Community Outreach Coordinator supports TMAC’s revenue- and metric-generating activities through event coordination, stakeholder engagement, communications, and business development support. This role supports and manages event logistics, outreach communications, data entry, and lead routing, and represents TMAC at events and in partner interactions. Reporting to the Metroplex Region’s Business Development Officer and working closely with Senior Communications Specialist, the Outreach Coordinator ensures accurate record-keeping, effective messaging, and high-quality execution of TMAC events and outreach initiatives.

Essential Functions

Event Logistics & On-Site Coordination

  • Manage department and venue calendars.
  • Schedule field staff based on the Tiered Event System.
  • Coordinate with vendors for catering, rentals, supplies, and marketing materials.
  • Prepare and distribute event materials (signage, printouts, nametags, booth items).
  • Manage scheduling, distribution, and return of exhibit items.
  • Serve as day of logistics coordinator for Tier 1 events, including agenda support, vendor timelines, and venue needs.
  • Attend events to represent TMAC and collect stakeholder feedback.
  • Manage live events, workshops, and classes.
  • Ensure effort reporting and record keeping are completed accurately.

Outreach, Representation & Stakeholder Engagement

  • Represent TMAC at events, meetings, and partner engagements.
  • Communicate with stakeholders, partners, and sponsors.
  • Send event invitations and respond to sponsorship inquiries.
  • Answer the TMAC hotline and main email inbox; disseminate leads to appropriate staff.
  • Support outreach and relationship building campaigns.

Communications & Marketing Support

  • Draft graphics using Canva.
  • Develop event landing pages in EventSquid.
  • Update TMAC websites (TMACDFW.org, TMAC.org).
  • Collaborate on social media content through photos, write ups, and event recaps.
  • Assist Senior Comms staff with messaging and outreach materials.

Data Management & Support

  • Maintain accurate attendance, registration, and event data.
  • Perform data entry in CRM systems (currently Salesforce).
  • Research and provide data for upcoming or potential events.
  • Assist event attendees with registration or online payment issues.

Administrative & Other Duties as Assigned.

  • Maintain and reconcile a university pro card.
  • Perform general administrative tasks supporting events, workshops, and projects.
  • Complete additional duties as assigned by Business Development or Communications leadership.
Required Qualifications
  • Bachelor’s degree and two (2) years of experience in event coordination, outreach, communications, or related administrative support,or six (6) years of an equivalent combination of education and experience.
Preferred Qualifications
  • Experience with Salesforce or similar CRM platforms.
  • Experience representing an organization at public events.
  • Familiarity with Canva, EventSquid, or similar tools.
  • Experience coordinating vendors, logistics, or stakeholder communications.
Knowledge, Skills & Abilities
  • Strong organizational and communication skills.
  • Ability to manage multiple projects and deadlines.
  • Proficiency with standard office software and CRM systems.
  • Strong event planning and logistics coordination skills.
  • Excellent written and verbal communication abilities.

  • Ability to represent TMAC professionally in public settings.
Work Schedule
  • Monday through Friday; 8:00am through 5:00pm
Working Conditions
