Job summary

Rapport in New York City seeks a Community Ambassador to provide general office support, greet visitors, answer calls, and coordinate catering and event setups. You’ll work with the on-site team and facilities to schedule maintenance and manage work orders, delivering warm, professional service in a busy environment.

Strong communication, hospitality mindset, and basic computer skills are essential; prior front desk or reception experience is a plus.

Qualifications

• Answer incoming calls and direct calls to appropriate associates.
• Greets and directs visitors in a friendly, professional manner.
• Uses intercom/voicemail system to announce appointments and calls.
• Receives, sorts and forwards incoming mail; coordinates the pickup and delivery of packages and mail.

Responsibilities

• Provide high-level internal and external customer support with a warm welcome and seamless service.
• Collaborate with on-site team lead and associates to design and coordinate catering services, meeting setups, and special requests for meetings and events.
• Work closely with building management and hard services team to schedule preventative maintenance and general office repairs.
• The role will require to enter work orders and follow up with the facilities team.
• Culinary, menu planning and food service knowledge is an added value
• Speak knowledgeably about the office, building, surrounding areas, transportation, local restaurants, and other points of interest.
• A genuine sense of hospitality, with a commitment to delivering a memorable experience in all aspects of the role.
• The ability to work under pressure, prioritizing tasks and juggling many jobs simultaneously, while constantly interacting with visitors in a public environment.
• Excellent listening and oral communication skills.
• Basic computer skills and knowledge of office technology / equipment.

• Takes and retrieves messages.
• Provides callers with general information, including company address, directions and other related information.
• Greets and directs visitors in a friendly, professional manner.
• Uses intercom/voicemail system to announce appointments and calls.
• Receives, sorts and forwards incoming mail; coordinates the pickup and delivery of packages and mail.
• Opens and closes visitor area.
• Performs other duties as assigned.
