Position Details

Title: Communications and Membership Operations Coordinator

Classification: Full-Time, Exempt

Location: Dr. Kent L. Gardner Order of Omega International Headquarters, Arlington, TX (In-Office Required)

Reports To: Assistant Executive Director

Compensation: $54,000 annually; 5% employer contribution to a retirement plan; $550/month toward individual health insurance premium; generous paid vacation and sick leave

Position Overview

The Communications and Membership Operations Coordinator serves as the primary staff member responsible for Order of Omega's member-facing communications and for managing the organization's core membership operations. On the communications side, the Coordinator plans, writes, and produces member newsletters, member email communications, and social media content, and leads the implementation of the organization's marketing and messaging strategy for members. On the operations side, the Coordinator manages membership records and the GreekTrack membership management platform, coordinates the new member registration process, and oversees the fulfillment of membership certificates, pins, regalia, and merchandise, working with chapters to ensure all new members are duly registered and in good standing with the International Headquarters.

This is a member-facing role that blends creative communications work with detail-oriented membership operations in a deadline-driven environment. It requires strong writing and organizational skills, attention to detail, and a genuine passion for supporting the chapters and student members who make Order of Omega's mission a reality. The Coordinator collaborates with staff and the Board of Directors to fulfill organizational goals and works closely with all IHQ staff to provide a quality experience for members.

Key Responsibilities
Communications & Marketing
  • Plan, write, and distribute member newsletters and organization-wide member email communications.
  • Develop, schedule, and manage content across Order of Omega's social media channels to engage members and promote the organization.
  • Lead the implementation of the organization's marketing and messaging strategy across all member-facing communications.
  • Maintain a communications calendar that coordinates newsletters, emails, and campaigns around key membership and initiation cycles.
  • Create and edit member-facing content and promotional materials consistent with Order of Omega's brand and voice.
Membership Operations & Records Management
  • Coordinate, manage, track, and evaluate all membership activities, including new member registration and initiation data.
  • Ensure membership records are updated in the GreekTrack platform on a timely and consistent basis.
  • Assist chapters in utilizing GreekTrack as the primary new member registration and dues payment portal.
  • Manage individual membership engagement functions within the GreekTrack platform.
  • Produce an annual year-end membership report with a breakdown of initiates by council affiliation, chapter, and geographic region.
  • Update and maintain current chapter advisor and officer contact information in organizational records.
Membership Fulfillment & Chapter Support
  • Coordinate the printing, packaging, and shipment of chapter membership certificates and membership pins following each initiation cycle.
  • Coordinate Order of Omega merchandise sales and partnerships.
  • Coordinate the fulfillment, packaging, and shipment of online merchandise and regalia orders.
  • Work with the Account Manager to ensure accurate financial tracking of chapter membership dues and payments.
  • Assist chapters with the online dues payment process as needed.
Chapter Engagement & Outreach
  • Serve as a primary point of contact for chapter officers and advisors on membership and registration questions.
  • Assist Regional Chapter Directors in developing and implementing chapter action plans based on specific chapter needs.
  • Maintain proactive contact with undergraduate chapter leaders and advisors to support membership engagement and growth.
  • Maintain appropriate working relationships with fraternity/sorority life colleagues, associations, and vendors to support the mission and reputation of Order of Omega.
  • Provide support to IHQ staff and Board Members on membership-related matters as requested.
  • Support the implementation of administrative policies and procedures for Headquarters.
  • Other duties as assigned.

  • Annual Board of Directors Summer Board Meeting (mid-July)
  • AFA Annual Meeting (late November / early December)
  • Regional Greek Regional Conferences (AFLV, SGLA, NGLA) -- Spring semester
External Relationships

The Communications and Membership Operations Coordinator maintains regular contact with the Board of Directors, appointed officers, and committees on membership matters as appropriate. The Coordinator maintains personal contact with undergraduate members and cultivates appropriate working relationships with fraternity/sorority life colleagues, associations, and vendors to support the image and objectives of the International Organization.

Qualifications
Required
  • Bachelor's degree from an accredited institution of higher learning; membership in a Greek-lettered organization is required
  • Excellent written and verbal communication skills with a collaborative, optimistic, and professional approach
  • Ability to work independently, take initiative, and remain motivated in a deadline-oriented environment
  • Experience working with or within a volunteer or membership-based organization
