Job summary

WSP USA in Dallas, TX is seeking a Commissioning Administrator to support the Central Region, including Dallas, Houston, and Austin offices. The role manages the commissioning process, project calendars, contracts, and financials while collaborating with architects and owners on sustainability-focused projects.

The ideal candidate will have a high school diploma, 4+ years of administrative experience, and proficiency with MS Office, Smartsheet, Bluebeam, and cloud file sharing.

Qualifications

• Highschool Diploma and 4+ years of related administrative support experience.
• MS Office applications including Word, Excel, Outlook, PowerPoint.
• Familiarity with Smartsheet and Bluebeam is an advantage.
• Experience with cloud-based file sharing platforms (SharePoint/ShareFile/Newforma/Dropbox/Box).
• Strong computer and typing skills; deadline-oriented and collaborative.
• Self-motivated, eager to learn and able to handle multiple deadlines.

Responsibilities

• Maintain project calendar and publish schedules to the project team.
• Assist in materials for project pursuit and processing of contracts.
• Create project folders and manage quality control of project binders.
• Generate project financial management reports and track invoices.
• Provide marketing and business development support.
• Prepare staff expense reports and monthly project status updates.
• Organize weekly meetings and contribute to monthly summaries.
• Prepare and process commissioning documents and proofs.
• Perform general office admin tasks such as stationery orders.
