Responsibilities:
- Support day-to-day functions in the service department, focusing on billing for service-related activities.
- Collaborate with dispatchers, service assistants, management, technicians, and others to maintain a smooth workflow.
- Maintain service billing processes.
- Provide customer support.
- Draft correspondences and formal documents.
- Plan and schedule appointments and events.
- Answer inbound calls.
- Support technician growth and increase service sales.
Qualifications:
- Experience in office administration or related fields.
- Commercial HVAC service experience for technical support.
- Ability to prioritize and multitask.
- Excellent communication skills.
- Strong attention to detail and organizational skills.
Ideal Candidate:
- At least 5+ years of experience in the commercial HVAC industry.
- Proficient with service dispatch software.
- Skilled in Microsoft Word, Excel, and Outlook.
- Strong work ethic and attendance.
- Billing experience is a plus.
Billing:
- Understand and complete service call billing.
- Knowledge of service work order processes and pricing structures.
Working with Technicians:
- Answer technical questions and provide recommendations or solutions.
- Verify ongoing work orders, parts, and equipment information with correct pricing and availability.
Office Support:
- Assist dispatch with technical questions.
- Answer and route incoming calls.
- Create and assist with quotes based on technician recommendations.
- Manage service emails and respond or notify dispatch.
- Cover positions like Service Assistant or Dispatch when needed.
- Follow instructions from supervisors.
Pay is negotiable based on experience.
