Job summary

The Suddath Companies is seeking a Collection Specialist to manage B2B customer collections, monitor balances, and support accurate cash flow. This hybrid role collaborates with sales, coordination and billing teams to resolve disputes and ensure timely payments.

Applicants should have experience in Billing/Accounts Receivable, strong Excel and communication skills, and be able to work in a team environment while handling multiple tasks.

Qualifications

  • High school diploma required
  • Two (2) year college degree preferred
  • Minimum of one year in Billing and/or 3 years of Accounts Receivable/Collections, preferably in office & industrial/hospitality industries

Responsibilities

  • Prepare and maintain monthly ageing reports for assigned customer accounts
  • Monitor outstanding balances and proactively follow up on overdue customer accounts
  • Process credit card payment requests for assigned accounts
  • Respond to client inquiries regarding account information
  • Maintain up-to-date customer records
  • Collaborate with sales, coordination, and billing teams to resolve disputes and support cash flow
  • Work independently and follow escalation procedures as needed

The Collection Specialist is responsible for managing business-to-business customer collections, monitoring account balances, preparing aging reports, and following up on overdue accounts. This role supports accurate and timely payment processing, maintains customer account records, responds to billing and account inquiries, and partners with sales, coordination, and billing teams to resolve disputes or discrepancies. The Collection Specialist plays an important role in supporting efficient cash flow, maintaining positive customer relationships, and ensuring collection activities are handled accurately and professionally.

This is a Hybrid position.

Essential Duties & Responsibilities
  • Prepare and maintain monthly ageing reports for assigned customer accounts
  • Monitor outstanding balances and proactively follow up on overdue customer accounts
  • Process credit card payment requests for assigned accounts
  • Respond to client inquiries regarding account information
  • Maintain up-to-date customer records
  • Collaborate with sales, coordination, and billing teams to resolve disputes or discrepancies and support efficient cash flow
  • Work independently and follow escalation procedures as needed
Job Skills Required
  • Intermediate working knowledge of Microsoft Excel, Outlook, Word and other MS Office products
  • Ability to work in a team environment and demonstrate flexibility and patience
  • Excellent organization, communication and problem-solving skills
  • Ability to multi-task and manage time effectively
  • Ability to sufficiently read, speak, and write English to understand and give directions, and to complete paperwork accurately
  • Ability to operate a variety of standard office equipment as dictated by the duties of the job and perform data entry and typing functions

Education & Experience
  • High school diploma required
  • Two (2) year college degree preferred
  • A minimum of one year in Billing and/or 3 years of Accounts Receivable/Collections is required, preferably within the office & industrial/hospitality industry

Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports. Ability to speak effectively before groups of customers or employees of the organization. Excellent written and verbal communication skills.

Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Operations: To perform this job successfully, an individual should have strong knowledge of Microsoft Office Suite, and the ability to learn and effectively use software applications such as move management, accounting/billing, HRIS (Human Resources Information System), timekeeping and other applications used in the performance of job duties.

Planning/Organization: Ability to prioritize and re-prioritize as situations and needs change throughout the workday. Ability to multi-task and organize workflow to manage daily responsibilities, meet deadlines and prioritize work.
