Job Description

JOB SUMMARYThe Collections Assistant is a professional position reporting to the Collections Manager (or possibly Associate Collections Manager) and responsible for the inventory, inventory control documentation, and tracking of objects in Biltmore's collections, including tracking object movement, and the documentation and tracking of damage or potential damage to the historic collections and structures. Other duties include assisting with cataloging, object documentation, media events, and exhibition related duties. In addition, the Collections Assistant will provide general assistance and support for leadership, the department, and company as required.

ESSENTIAL JOB DUTIES
  1. Follow established guidelines to maintain inventory control documentation pertaining to Biltmore's collections.
  2. Assist with data entry related to collections.
  3. Assist with creating logistical plans and organizing collection object movement.
  4. Serve as point of contact for damage or potential damage to the historic collections and structures and maintain records for all collection and architectural incident reports.
  5. Assist with cataloging, object documentation, media events, and exhibitions.
  6. Follow policies, procedures and best practices that are in keeping with acceptable museum standards and ethics as recommended by Association of Registrars and Collections Specialists (ARCS) and American Alliance of Museums (AAM).
Independent Decision Making
  1. The Collections Assistant will assist with organizing and implementing object movements. A large portion of their work will be focused on moving collections into a new storage facility.
  2. The Collections Assistant will be responsible for communicating with key Biltmore staff regarding reported damage or potential damage to collection objects and structures.
  3. This position manages their work priorities based on project work, urgency, and work quantity. It is expected that work flow needs will change frequently, so time management and adaptability are vital to successful completion of the position. This position will receive guidance on priorities from direct supervising Collections Manager, but management of individual tasks is expected to be conducted independently.
QUALIFICATIONS
  1. Bachelor's degree in relevant field (e.g. museum studies, art history, history, library studies) required.
  2. Minimum of one (1) year experience in related field. Equivalent combination of education/experience will be considered.
  3. Familiarity with concepts, principles, and methodologies associated with the collections management of historic materials and objects, and skilled in applying concepts, principles, and methodologies is preferred.
  4. Very strong attention to detail and accuracy of data entry are required.
  5. Excellent interpersonal and communication skills are required; able to convey information clearly and concisely in both written and spoken form.
  6. Strong organizational, time management, and planning skills required; detail-oriented.
  7. Strong computer skills, including proficiency in Microsoft Office software, required; knowledge of collections management software strongly preferred; basic photography skills required.
  8. Ability to prioritize work, meet deadlines, and adapt as needed. Proactive, exercises good judgment.
  9. Ability to work professionally and effectively as part of a diverse team at all levels is required.
PHYSICAL REQUIREMENTS
  1. Attention to detail and demonstrated ability to complete work accurately and efficiently.
  2. Efficiency and ability to meet deadlines in a fast-paced work environment.
  3. Ability to work in both an office setting and in the field, standing/walking, and/or sitting for extended periods of time as needed is required.
  4. Ability to climb ladders and scaffolding is required.
  5. May be exposed to fumes, dust, dirt, pollen, chemicals, and/or other particulates; position requires the ability to wear personal protection equipment, including goggles, gloves, masks, and a respirator as necessary.
  6. The incumbent will need to travel between locations on the estate and will be required to have or be able to obtain a valid North Carolina driver's license.
