Job summary

The Orlando Museum of Art seeks a qualified Registrarial professional responsible for care and records of the Museum's permanent collections, loans and exhibitions; providing Museum staff with descriptive materials, visuals and other data for Museum activities; maintaining legal documents, files and data systems associated with cataloging acquisitions, accessions, deaccessions, loans, copyrights, exhibition contracts, packing, international and domestic shipping, insurance and storage.

Qualifications

  • Minimum B.A. in Art or Art History, M.A. preferred.
  • 2 years registrarial experience.
  • Excellent written and spoken communication skills.

Responsibilities

  • Maintain database with accurate and current records related to collections and exhibitions.
  • Supervise and maintain art storage and conduct periodic inventories.
  • Prepare gift acknowledgments.
  • Process outgoing and incoming loan agreements.
  • Coordinate shipping for loans and temporary exhibitions.
  • Supervise packing and unpacking of artwork.
  • Complete condition reports.
  • Maintain logbook of collections transactions.

Job description

Responsible for the care and organizational records of the Museum's permanent collections, loans and exhibitions; providing Museum staff with descriptive materials, visuals and other data for Museum activities; maintaining legal documents, files and data systems associated with cataloging acquisitions, accessions, deaccessions, loans, copyrights, exhibition contracts, packing, international and domestic shipping, insurance and storage.

Specific Tasks:

1. Maintain database with accurate and current records related to all aspects of collections and exhibitions.

2. Supervise and maintain art storage and conduct periodic inventories.

3. Prepare gift acknowledgments.

4. Process outgoing and incoming loan agreements.

5. Coordinate shipping for incoming and outgoing loans and temporary exhibitions.

6. Supervise packing and unpacking of artwork.

7. Complete condition reports.

8. Maintain logbook of collections transactions.

9. Produce checklists and object labels for exhibitions and lend assistance as needed with exhibition installation.

10. Aide in preparing meeting materials and agenda packets for the Collections and Exhibitions Committee throughout the year.

11. Responsible for ensuring the museum is in compliance with laws and regulations pertaining to its collections and collecting activities.

12. Proof and edit written materials as needed related to the Museum’s collections and exhibitions.

13. Conduct and provide research support.

14. Manage insurance plan for the collection including reports and claims.

15. Travel as needed to coordinate registrarial activities, including couriering.

16. Work with volunteers and interns.

17. Other duties as may be assigned.

Academic and Business Requirements:

Minimum B.A. in Art or Art History, M.A. preferred. 2 years registrarial experience.

Steel toe shoes required.

Specific Skills and Abilities:

Excellent oral and written communication skills are required as well as the ability to work cooperatively with other staff members, lenders, artists, shippers and vendors. Must be well-organized, work under pressure to meet deadlines, and pay close attention to detail. Typing (50 wpm) and competent knowledge of current software, including Word, Excel and Embark databases.

Temperament:

Enjoys working with and caring for art objects. Excellent interpersonal skills, systematic, meticulous, patient, self-starter and works well under pressure. Manages time efficiently, analyze and solve problems independently and if necessary, collaboratively. Ability to be flexible and embrace changes within this position due to departmental priorities.
