Job Description

Job Summary The Clinical Support Assistant supports the Doctor of Occupational Therapy (OTD) Program’s clinical education operations by serving as a central coordinator, communicator, and data manager for fieldwork and capstone experiences. Working with limited supervision, the role ensures smooth interaction among students, faculty, clinical partners, and accreditation bodies; maintains confidential academic and administrative records; manages clinical education data systems and site contracts; prepares program communications and manuals; and assists program leadership through research, reporting, and procedural development. The position also coordinates clinical education events, directs projects assigned to graduate assistants, and trains students in required web-based systems to uphold compliance, efficiency, and excellence across all clinical education functions.

Knowledge, Skills, and Abilities

  • Knowledge of research methods, data collection techniques, and information management practices used to support program operations.
  • Knowledge of administrative procedures, record-keeping standards, confidentiality requirements, and compliance expectations within higher-education and clinical education environments.
  • Knowledge of database systems, web-based platforms, and digital communication tools used to store, analyze, and disseminate program information.
  • Skill in collecting, organizing, and analyzing complex data sets to support reporting, accreditation, and decision-making.
  • Skill in preparing clear, accurate, and professional communications, including reports, manuals, digital content, and stakeholder correspondence.
  • Skill in managing multiple information systems, maintaining confidential records, and coordinating workflows related to clinical site contracts and student placements.
  • Skill in conducting research on policies, procedures, and guidelines and summarizing findings for program leadership.
  • Skill in coordinating meetings, events, and training activities for internal and external constituents.
  • Ability to work independently, exercise sound judgment, and prioritize issues requiring leadership attention.
  • Ability to interpret and apply policies, accreditation standards, and procedural guidelines to support program compliance.
  • Ability to maintain and update data systems, track program metrics, and produce accurate reports for internal and external use.
  • Ability to communicate effectively with clinicians, administrators, students, and other stakeholders.
  • Ability to train students and direct graduate assistants in the use of information systems and administrative processes.

Required Qualifications

  • High school diploma or GED and two (2) years of experience working with the public in a clerical setting
  • A combination of education and work experience

Preferred Qualifications

  • Experience working with the public in an educational setting
  • Experience with social media and website management
  • Working knowledge of health care systems and health professions education
  • Experience with clinical placement software (i.e., Exxat, CORE, or other web-based platform)
