Job summary

The Medical College of Wisconsin, Inc. is seeking a program coordinator to oversee day-to-day administrative activities and support the team in achieving program goals. The role includes database management, Epic template builds, and scheduling across learners and providers.

You will collaborate with clinic managers, monitor timelines, and assist in budget, recruitment, and training efforts while generating and disseminating program data for stakeholders.

Qualifications

• Bachelor’s degree required.
• Minimum 3 years of experience required.
• Experience with EPIC, Qgenda, clinic operations, and template building preferred.

Responsibilities

• Coordinate day-to-day administrative activities of the program.
• Develop, implement, and maintain comprehensive databases and files related to the program.
• Meet with providers to discuss, build, and implement Epic template builds and changes.
• Coordinate with hospital clinic managers and the template build team to approve and build Epic templates.
• Manage and monitor Gone Time for both divisions.
• Create monthly learner schedules assigning residents, students, and external learners with providers.
• Maintain quarterly consult schedules and enter schedules in QGenda.
• Maintain program timelines and track deadlines and components.
• Coordinate program budget as needed.
• Assist in recruitment and training of program staff as needed.
• Assist in scheduling people and material resources.
• Conduct or coordinate training for program participants as needed.
• Collect, analyze, and disseminate program data.
• Provide input on program design and report data/progress to stakeholders.
• Coordinate program outreach with community organizations as needed.
• Collaborate on program materials including educational, marketing materials, websites, forms, and reports.
