Job summary

The Legacy Senior Communities in Plano, TX is seeking a Clinical Development Coordinator to manage nursing staff schedules, maintain supplies, and support the DON with data collection and onboarding. This non-profit concludes in a broad continuum of care including independent living and skilled nursing.

About the Role

The Clinical Development Coordinator is responsible for producing and maintaining all nursing staff work schedules, maintaining par levels of nursing supplies and perform clerical duties, including maintaining clinical records in support of a nursing unit. Assists the Director of Nursing in collecting data and follows up on issues within a limited scope of practice regarding resident health and wellness. Plans, carries out, and documents training of all direct caregivers upon hire, monthly, and as needed in group or individual settings. In addition, keep nursing units stocked with nursing supplies and maintain proper records for resident supply charges.

Essential Duties and Responsibilities

The following duties are normal for this position. This list is not to be construed as exclusive or all inclusive. Other duties may be required and assigned.

  • Produces and maintains daily CNA, CMA, LVN and RN schedule.
  • Provides input for staffing needs based on acuity and resources.
  • Ensures required RN staffing per facility regulations.
  • Coordinates staffing needs to replace call ins.
  • Responsible for posting Daily Staffing Grid.
  • Maintains nursing phone roster and distributes changes to HR, DON, and Administrator.
  • Interviews CNA and CMA applicants and if appropriates recommends candidate to DON for final interview.
  • Assists DON with scheduling interviews for RN’s and LVN’s.
  • Coordinates with the DON to ensure that the pre-hire process of all nursing staff is completed timely.
  • Implements onboarding of new nursing staff.
  • Spends a minimum of one day with new CNA’s to train and complete skills check off prior to their independent assignment on the floor.
  • Responsible for new hire and annual skills check off for CNA’s.
  • Coordinates with DON to ensure that initial and annual skills check off for CMA’s, LVN’s and RN’s are completed timely.
  • Maintain staff attendance records.
  • May Enter missed punches, verify times for Payroll close in My Paychex for DON approval. Coordinate with DON for vacation approval and notify DON and/or Administrator of any time discrepancies, unauthorized OT, habitual tardiness or habitual early clock in’s.
  • Creates and/or maintains in-service tracking manual for all nursing staff. Ensures that all staff have all required state/federal in-services completed.
  • Plans and carries out all state/federal/facility required in-services and competency testing for all direct caregivers upon hire, monthly, and on an as needed basis.
  • Provides direct care on the floor when staffing needs require it.
  • Meets new residents on their first day of arrival if they arrive to find out what the residents’ needs and fears are and then communicates that to the caregivers and licensed staff. Follows up within 24 hours to ensure that the resident is having their needs met.
MEDICAL RECORDS & CENTRAL SUPPLY RESPONSIBILITIES
  • Creates new medical records for all new admits.
  • Performs chart audits at admission and discharge.
  • Maintains current medical records including regular audits to ensure compliance and completeness of required items as well as ongoing filing to ensure that documents are located in appropriate chart.
  • Prepares all medical records for closure, physician signature and complete of discharge summary.
  • Scans and uploads all medical chart documents and relevant data to appropriate electronic files.
  • Performs general typing, filing, and posting to medical records.
  • Orders supplies and equipment, maintains adequate par levels and places items in proper storage areas. Keeps floors stocked with supplies at all times.
  • Consistently and systematically reconciles all ancillary supply charges, electronically for each resident and turns in to business office monthly.
  • Abides by established facility and departmental policies including maintaining confidentiality as appropriate.
  • Maintains all Central Supply and Oxygen storage areas to be neat and tidy, ensuring that state/federal guidelines for storage of such items are met.
  • Create and maintain an inventory list of all medical equipment belonging to the Legacy or any rented equipment from vendors.
SUPERVISORY RESPONSIBILITIES
  • Assists DON in supervision and training of CNAs and CMAs to ensure delivery of consistently high quality care to residents.
  • Monitors and ensures that weights, showers and linen changes are occurring as designated. Initiates disciplinary actions through DON or Administrator if requirements are not being met.
  • Assesses CNA skills to identify and address deficiencies as appropriate and initiate disciplinary actions with DON as appropriate.
  • Develops training protocol to address needs identified.
  • Assists with the orientation and performance evaluation of direct care team members.
  • Participates with on-call rotating schedule for nursing staff.
  • Assist DON with 90 day and annual evaluations.
Education Requirements and Experience
  • High school diploma or equivalent required
  • Licensed Vocational or Practical Nurse required
  • CPR certification required
  • Preferred minimum of one year experience in long-term care or skilled nursing setting
