Job summary

CHI Health Clinic is seeking a Scheduler to coordinate patient appointments and provider schedules across departments. You will manage EMR scheduling, verify insurance, and ensure accurate documentation while delivering friendly, patient-focused service.

In this role you will arrange procedures and surgeries, coordinate with multiple providers and departments, and handle timing based on room, staff, and anesthesia availability to support smooth care delivery.

Qualifications

• Minimum two years’ customer service experience in a high-multitasking environment (e.g., call center, physician's office, or service industry).
• Strong communication and attention to detail are essential.
• Healthcare terminology knowledge is a plus.

Responsibilities

• Schedule patient appointments and coordinate multiple provider schedules for procedures and tests.
• Gather patient demographics and provider information to determine appropriate times and locations.
• Coordinate and schedule procedures and surgeries according to availability and physician direction.
• Conduct precertification to ensure insurance approval for appointments and care.
• Ensure preoperative tests are scheduled and completed, coordinating with outside vendors if necessary.

Job Summary and Responsibilities

As our Scheduler, you will orchestrate a seamless and efficient care process for patients and providers by coordinating appointments and managing schedules.Every day you will schedule patient appointments and coordinate multiple provider schedules for medical procedures, tests, and studies. You'll ensure timely scheduling through effective communication, accurately gather and verify patient insurance and documentation, process reports, and provide exceptional customer service to patients via phone and in-clinic assistance.To be successful in this role, you will demonstrate strong attention to detail, multitasking abilities, and excellent communication and reasoning skills to manage scheduling complexities and patient inquiries, always striving for accuracy and efficiency.

- Schedules procedures and/or surgeries in an applicable facility setting considering the availability of procedure room, equipment, staff and anesthesia care provider utilizing EMR scheduling software.

- Coordinates surgeries and/or procedures with multiple providers on cases in the same department and with other departments.

- Gathers specific patient demographic and provider information to accurately determine the appropriate procedural or surgery appointment times and location based on availability of the provider and the procedural location.

- Coordinates, registers and schedules procedures and surgeries for patients according to availability and physician/APP direction.

- Conducts patient precertification on proper insurance approval for appointments and medical care.

- Ensures all preoperative required tests needed prior to surgery are scheduled and completed, including coordination with outside vendors if necessary (device reps etc)

Required

- High School GED General Studies and minimum two years’ customer service experience in an environment requiring multi-tasking, such as a call center, administrative/physician's office, appointment scheduler or retail/ service industry, upon hire or

- High School Graduate General Studies and minimum two years’ customer service experience in an environment requiring multi-tasking, such as a call center, administrative/physician's office, appointment scheduler or retail/ service industry, upon hire or

- Associates Other, upon hire and

Preferred

- One year experience in the healthcare field using medical terminology
