Qualifications

  • High school diploma or equivalent required.
  • Experience in lieu of a degree not accepted.
  • Certified Medical Administrative Assistant (CMAA) preferred.
  • 2–3 years of office experience required.

Responsibilities

  • Perform routine administrative and clerical duties in a clinical service or physician practice office.
  • Make patient appointments and maintain appointment records.
  • Greet and assist patients.
  • Answer phones, assist callers with routine inquiries, and schedule appointments.
  • File materials in patient folders, and print appointment schedules.
  • Process patient billing forms and scan documents to patient medical record/LMR.
  • Call for patient medical records and lab results.
  • Open and distribute unit mail or faxes.
  • Type forms, records, schedules, memos, etc., as directed.
  • May accept co-payments.
  • Handle/screen messages related to prior authorizations, provider questions, prescriptions, and test results.
  • Act as Super User for scheduling, registration and billing systems; provide training to others.

Job Summary

We are located at 900 Cummings Center in Beverly, MA. As a Family Medicine office, we provide physical examinations, routine health screenings, and preventive care for patients of all ages, from infants through adults.

We are seeking a Clinic/Practice Assistant to join our team onsite, working 40 hours per week, Monday through Friday from 8:30 AM–5:00 PM.

The ideal candidate will have direct healthcare administrative or medical office experience, along with strong customer service and organizational skills.

We are looking at a start date after December 1, 2026, for this role.

Summary

Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations under general supervision. Performs basic clerical work and tasks that are repetitive and routine. Administrative duties related to patient visits including scheduling, check-in, check-out duties. Actual job duties may vary by Department.

  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
