Job summary

Novuskin Med Spa in Houston, TX, is seeking an Operations Manager to optimize daily clinic efficiency. You will coordinate logistics, HR administration, inventory control, and customer experience while ensuring compliance with company procedures and accurate reporting.

You will work closely with the Spa Director to maintain smooth operations, implement SOPs, and support long-term business performance. The role is on-site with growth opportunities in a growing aesthetics practice.

Responsibilities

• Manage inventory levels and prevent over-purchasing; place orders based on sales and usage.
• Track stock, run monthly counts, and establish cycles and budgeting alignment.
• Develop SOPs for consumables usage per procedure and submit monthly reports.
• Coordinate with vendors; manage product samples, training opportunities, and promotional materials; oversee Aspire/Alle programs.
• Handle onboarding, background checks, contracts, and new-hire system access.
• Set up payroll tools (Deel and Paychex) and schedule performance reviews.
• Ensure timecards are submitted before payroll.
• Monitor KPI reports and ensure data accuracy across clinic systems.
• Review Zenoti campaigns weekly and keep marketing/operational docs current.
• Maintain secure passwords and assist new software implementations.
• Monitor social platforms and respond to reviews; address client concerns.
• Document and resolve client complaints; work to improve satisfaction.
• Oversee cleanliness, organization, and daily facility upkeep.
• Coordinate repairs, manage vendors, track warranties and renew licenses.
• Manage mail and administrative correspondence.
• Bilingual Spanish is a plus
