Forgent is a specialty talent platform for financial services firms. We're leading this search on behalf of our client, a fast-growing multi-family office in Gardiner, Maine, that's hiring two operations coordinators. You'll own everything an advisor needs that doesn't require a license. That includes portfolio administration, custodial paperwork, account maintenance, and Schwab, life, and annuity applications, all run off precise, time-tested playbooks. It's a high-volume seat for someone coachable who follows detailed processes to the letter and takes pride in doing consistently great work.
You’ll train under one of the best in the country. The firm's operations leader has trained dozens of operations professionals on systems built to run tens of thousands of accounts.
Your pay grows as you do. Comp is tiered from $55K to $130K over time to reward people who commit to the operations track, with a path to admin coordinator leading four departments.
You’re at the center, not in a back room. Admins sit in glass offices in the middle of the floor, so every advisor comes to you all day.
You’ll work somewhere beautiful. The office is a fully reconstructed 10,000-square-foot granite-and-brick building from 1843, with 14-foot ceilings, natural light, and brand-new everything.
A system built to make you succeed. The playbooks behind the firm's close ratio are spelled out step by step. Follow them and the client outcome follows.
You've done some operations work. You don't need years of it, but you've handled paperwork, deadlines, and follow-up in a real job.
You like a clear process. When a playbook has 60 steps, you follow all 60, and you don't decide you've outgrown it after a few weeks.
You have a high capacity for work, and you take pride in being the most efficient person in the room.
You're clear and personable on the phone and in email, even though most of your work happens behind the scenes.
You want to build a career in operations and grow into leadership, and you'll stay late when the work needs to get done.
Some operations experience, genuine coachability, sharp attention to detail, and the ability to work in office five days a week in Maine.
