Job Description
Client Service Specialist responsibilities include, but are not limited to:
Client Interaction
- Research and resolve client issues, involving others as needed.
- Respond to client calls to address needs and transfer calls to appropriate departments.
- Set up and verify new clients following protocols, resolving related issues.
- Send requisitions to clients as required.
- Assist clients with communication difficulties with other departments.
- Register clients on the Diatherix-Eurofins web portal and troubleshoot issues.
- Follow up on client issues, document progress, and notify team managers as necessary.
- Advise clients to visit the website for additional information.
- Help clients with web portal login and password issues.
- Monitor fax press and CCM (Client Case Management).
- Call clients for testing information when needed.
Requisition Processing
- Send requisitions to clients as needed.
- Coordinate with the clinical lab to ensure requisitions are accessioned without delays.
- Enter data for specimen orders into the LIS.
- Resolve mis-sorts and inform clients of delays.
- Follow procedures for late arrivals and additional testing requests.
- Complete verbal orders and authentication forms for issues resolution.
- Sort requisitions per protocol.
- Scan documents and verify they are in View Wise.
- Resend reports through verified methods.
- Check daily reported baskets and process all types of requisitions accordingly.
- Escalate mis-sorts and mis-batches to appropriate personnel.
Specimen Processing
- Verify document presence in View Wise.
- Stay alert to process changes to meet turnaround times.
- Handle specimen splits and understand specimen requirements.
- Serve as a resource for lab assistants regarding specimen handling.
Administration/Other
- Coordinate with IT for issue resolution, establishing helpdesk tickets for all issues.
- Identify contacts for urgent needs.
- Maintain compliance with PHI regulations and PPE policies.
- Keep work areas tidy and organized.
- Participate in weekend and holiday work, and work in adverse weather conditions as safety permits.
- Manage document storage and inventory, and ensure all mandatory training and attendance policies are followed.
- Perform other duties as assigned.
Qualifications
Minimum Educational Qualifications:
- Bachelor of Science in Medical Technology, Clinical Laboratory Sciences, Biology, Chemistry, or related Life Science.
- 1-2 years of laboratory or customer service experience preferred.
Minimum Skills:
- Proficiency in basic computer programs.
- Strong team player, capable of multitasking in a fast-paced environment.
- Ability to work independently with minimal supervision.
- No current disciplinary actions.
- Comfortable handling patient samples with proper PPE.
Additional Information
Position is full-time, 3rd shift (Tuesday - Saturday, 2:30 am - 11:30 am), with overtime as needed. Candidates should reside within a commutable distance of Louisville, KY.
