Position Summary
The Client Service Specialist is responsible for supporting PSA BDP Surface's Freight Audit & Payment operations by ensuring carrier invoices are processed accurately and efficiently, resolving billing discrepancies, responding to customer and carrier inquiries, and supporting day-to-day operational activities. This role serves as a key liaison between customers, carriers, operations, finance, and internal support teams while maintaining the integrity and accuracy of the freight payment process.
Primary Responsibilities
- Process domestic and international carrier freight invoices accurately and in accordance with established service level agreements (SLAs).
- Audit transportation invoices for contract compliance, pricing accuracy, duplicate invoices, accessorial charges, and billing discrepancies.
- Research, investigate, and resolve invoice exceptions, balance dues, payment disputes, and reconciliation issues.
- Maintain freight payment processing queues while ensuring timely invoice processing and payment.
- Support month-end close activities, including customer accrual reporting, reconciliations, and financial reporting.
- Ensure compliance with internal controls, customer requirements, and company procedures.
- Serve as a primary point of contact for freight payment inquiries from customers, carriers, vendors, and internal stakeholders.
- Utilize the company's ticketing system to manage, prioritize, track, and resolve inquiries, ensuring timely follow-up and resolution within established service levels.
- Communicate professionally via phone, email, and other communication channels regarding invoice status, payment inquiries, research requests, and issue resolution.
- Build and maintain strong working relationships with customers, carriers, and vendors while delivering exceptional customer service.
- Partner closely with Operations, Procurement, Finance, Account Management, and other internal departments to resolve transportation and payment-related issues.
Operational Support
- Learn and effectively utilize PSA BDP transportation management and freight payment systems to research shipments, process invoices, and resolve operational issues.
- Scan and index freight documents into the freight payment system while maintaining accurate electronic records.
- Assist with new customer implementations, onboarding activities, process documentation, testing, and training support.
- Support continuous improvement initiatives by identifying opportunities to improve efficiency, eliminate manual processes, and enhance customer service.
- Provide support for customer call center activities as needed, including shipment routing, carrier assignment, and spot quote requests for truckload, expedited, flatbed, LTL, and other transportation modes.
Administrative Responsibilities
- Receive, sort, and distribute incoming physical and electronic freight documentation.
- Pick up mail from the local post office (must be able to lift up to 30 pounds).
- Maintain organized electronic and physical documentation in accordance with company policies.
- Perform other duties and special projects as assigned.

Job Requirements
Qualifications
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Strong customer service and communication skills.

- Strong analytical and problem-solving abilities.

Preferred Experience
- 1–3 years of experience in logistics, transportation, supply chain, freight brokerage, managed transportation, freight audit, freight payment, accounting, accounts payable, customer service, or operations.
- Experience working with transportation management systems (TMS), freight payment platforms, or enterprise software.
- Experience auditing freight invoices, reconciling payments, or resolving billing discrepancies.
- Understanding of LTL, Truckload, Parcel, Intermodal, Ocean, Air, or International transportation processes is preferred.
- Experience supporting carrier onboarding, transportation operations, or customer account management is a plus.
Technical Skills
- Microsoft Excel (sorting, filtering, PivotTables, XLOOKUP/VLOOKUP, and basic formulas)
- Microsoft Outlook, Word, Teams, and other Microsoft Office applications
- Ability to quickly learn transportation management systems (TMS), freight payment platforms, and internal software applications
- Strong data entry skills with a high level of accuracy
- Experience utilizing ticketing or case management systems is preferred
