Job summary

VCA Southeast Portland Animal Hospital is seeking an experienced and personable Client Service Representative (CSR) to join our dedicated team. As the first point of contact for clients, you set the tone for the hospital and help build lasting relationships through empathetic, clear communication.

You will work closely with medical and support staff to keep the hospital running smoothly, schedule appointments, guide clients to exam rooms, process payments, and assist with product recommendations

• Guiding clients and their pets to exam rooms with kindness and efficiency
• Scheduling and confirming appointments
• Making outbound calls for follow-ups and new client outreach
• Presenting and explaining treatment plans and fees
• Processing payments and invoices accurately
• Assisting clients with product recommendations, prescription requests, and general care guidance
• Maintaining accurate medical records and correspondence
• Supporting general hospital upkeep and ensuring clean, welcoming spaces
• Performing other duties as requested to support hospital operations

As the first point of contact for clients, the CSR sets the tone for our hospital. You will help foster lasting relationships by providing empathetic, clear, and confident communication to pet owners. You'll be a key member of our team, working closely with our medical and support staff to keep things running smoothly.

Core Responsibilities Include:

• Providing warm, professional client service in person and over the phone


• Guiding clients and their pets to exam rooms with kindness and efficiency


• Scheduling and confirming appointments


• Making outbound calls for follow-ups and new client outreach


• Presenting and explaining treatment plans and fees


• Processing payments and invoices accurately


• Assisting clients with product recommendations, prescription requests, and general care guidance (e.g., flea/tick prevention, house training, nutrition)


• Maintaining accurate medical records and correspondence


• Supporting general hospital upkeep (including pet waste removal) and ensuring all areas are clean, organized, and welcoming


• Performing other duties as assigned or requested to support hospital operations
