Job summary

Ethos Veterinary Health’s Animal Emergency and Specialty Hospital of Grand Rapids is seeking a Client Service Representative to greet clients, manage records, and coordinate appointments in a fast-paced, 24/7 setting.

You will triage client needs, educate on available services, handle invoices, and maintain accurate client/pet files while supporting a compassionate, team‑oriented environment for the community’s animals.

Qualifications

• Experience in veterinary client service is preferred but not required.
• Must be able to triage clients and respond appropriately.
• Strong organizational and communication skills are essential.

Responsibilities

• Welcome clients in a friendly, helpful, and compassionate manner
• Prepare and review documents and medical records accurately
• Educate clients about Ethos services and practices
• Process appointments, emergencies, and client requests with high quality care
• Process invoices and payments accurately
• Maintain client/pet records in compliance with hospital policies
• Assist with scanning, faxing, emailing, and other admin tasks
• Support teammates to achieve common goals
• Seek guidance when protocols do not cover a case

Client Service Representative Location: Grand Rapids, MI Schedule: Full Time | Mid-Shift | 2pm-2am, 3 days per week | Rotating Weekends and Holidays Compensation: $17/hr | + $3/hr Overnight Shift Differential from 10pm-7am

• Process appointments, emergencies, and client requests while ensuring the highest quality of care and satisfaction for our clients at all times
• Process invoices and payments accurately
• Update and maintain client/pet records and files in accordance with hospital legal requirements
• Assist with other administrative duties such as scanning, faxing, emailing, for example
• Support team to reach common goals
• Ability to recognize and seek guidance in all client-related cases where protocol does not apply

What You Bring:

• Previous Veterinary Reception Experience preferred, but not required
• Ability to triage patients, assess and respond accordingly
• Ability to critically think and maintain a calm demeaner in stressful situations
• Passion for providing exceptional client care and being a patient advocate
