Job summary

Thrivent Financial in Hendersonville, NC, seeks a Client Service Administrator to support daily office operations and client service requests. The role is in-office, Monday–Friday, 8:45 a.m. to 5:15 p.m., with 2 weeks PTO and compensation of $18–$23/hour. Reports to the Director of Operations at Trailhead Financial Group.

The CSA will assist Financial Advisors, manage client data, and handle routine tasks while maintaining confidentiality and high-quality work amid interruptions.

Qualifications

  • Previous administrative/secretarial experience desired.
  • Strong computer skills with MS Office; ability to learn new tools.
  • Ability to manage multiple tasks with interruptions.

Responsibilities

  • Greet clients upon arrival to the office.
  • Answer and route phone calls and respond to information requests.
  • Maintain office supplies and process mail.
  • Prepare routine correspondence, reports, and projects.
  • Schedule meetings for Financial Advisors.
  • Maintain client/contact information in CRM.
  • Provide back-up support for non-licensed tasks.
  • Assist Advisors with meeting prep and follow-up.
  • Complete other tasks as assigned.

Summary

The Client Service Administrator (CSA) position is critical for achieving leverage of the advisor’s time. This position supports daily operations of the practice including responding to client service requests, completing post meeting work, maintaining client information, and other administrative tasks as assigned. The Client Service Administrator reports to the Director of Operations and is employed by George Bailey Group, LLC/Trailhead Financial Group. This position is Monday - Friday, 8:45 a.m. to 5:15 p.m. Benefits include 2 weeks of PTO. No medical benefits provided at this time. Compensation ranges between $18-23/hr. This is an in-office position.

Job Description
Position Roles/Responsibilities/Accountabilities
  • Meeting and greeting clients upon arrival to the office
  • Handles incoming telephone calls to Trailhead Financial Group and responds to requests for information
  • Performs routine administrative duties such as maintaining office supplies and processing mail
  • Prepares or coordinates the preparation of routine correspondence, reports, and special projects typically of a routine nature
  • Supports projects, administration of various programs, and processing functions as needed
  • Drive client/member facing activity in the practice by scheduling meetings with client/members on behalf of the practice’s Financial Advisors
  • Maintain updated contact management system with client/member contact and preference information
  • Assist Financial Advisors in the preparation and follow up for the client/member meetings
  • Provides back-up support on tasks that do not require any type of licensing or registration for other staff members, as needed
  • Completes other miscellaneous tasks as assigned
Position Qualifications
  • Previous administrative/secretarial experience desired
  • Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint) or ability to learn
  • Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions
  • Ability to maintain integrity of sensitive/confidential information
  • Basic understanding of our products and services, and Thrivent Financial

External/Internal Dependencies
  • Must be able to work with all roles of the Trailhead Financial Group
  • Must be able to represent the organization in work with external clients
  • Must be able to cultivate and maintain relationships with outside organizations
