Position Summary
The Client Relations Coordinator is a full-time, on-site role that combines client experience, sales support, and administrative coordination. This person is often a key point of contact during a prospective client's decision-making process and helps create a compassionate, organized, and responsive experience from the first inquiry through the transition to the legal team.
A significant part of this role is conducting pending-hire follow-up calls after a prospective client has completed an initial strategy session but has not yet retained the firm. These conversations require thoughtful sales skills, confident and consistent follow-up, and exceptional empathy. The Coordinator must be able to listen carefully, understand concerns, explain the firm's value and next steps clearly, address non-legal questions appropriately, and help prospective clients make an informed decision without creating pressure or giving legal advice.
The role also supports the sales-to-legal transition, client communication, firm projects, operational maintenance, process and procedure updates, satellite offices, and firm leadership. Success requires strong ownership, sound judgment, attention to detail, and a genuine commitment to delivering an exceptional experience in the sensitive area of family law.
Key Responsibilities
- Conduct pending-hire calls and follow-up communications with prospective clients who have completed an initial strategy session but have not yet retained the firm.
- Use consultative sales skills to build trust, identify and address non-legal concerns or barriers, reinforce the firm's value, explain the hiring process and next steps, and guide prospective clients toward a timely decision while remaining compassionate and respectful.
- Maintain consistent, timely follow-up through the firm's established cadence; accurately document each contact, concern, outcome, and next step in the lead-management system.
- Track pending-hire activity and conversion-related key performance indicators, communicate trends and recurring objections to leadership, and support improvements to scripts, templates, and follow-up processes.
- Recognize the emotional and sensitive nature of divorce and family law matters; communicate calmly and empathetically while maintaining professional boundaries, confidentiality, and a clear distinction between administrative information and legal advice.
- Answer and route telephone calls with excellent customer service, represent the firm's mission and brand well, and protect team members' time by serving as an effective gatekeeper.
- Serve as the liaison between the sales and legal teams and facilitate a smooth new-client transition, including charging cards for security deposits, scheduling and calendaring initial strategy sessions, opening electronic client files in the client-management system, and ensuring required documents are uploaded.
- Communicate with clients and prospective clients promptly and professionally and collaborate with the acquisitions and legal teams to resolve administrative questions and support a consistent client experience.
- Coordinate the new-client gift process.
- Maintain lead-management software, including templates, automations, contact records, tasks, and related process updates.
- Enter and maintain accurate data used for firm key performance indicators and reporting.
- Update and maintain marketing and networking lists in the firm's online marketing systems and Google Drive.
- Support satellite offices and assist with firm events throughout the year.
- Assist with new initiatives, operational maintenance projects, and process and procedure updates for firm managers.
- Serve as backup to the Intake Specialist by screening prospective new clients when needed.
- Serve as backup for Office Coordinator responsibilities when that team member is absent.
- Perform other administrative and operational duties as assigned by the Director of Operations.
- Understand the firm's vision and mission and help ensure that day-to-day operations and the client experience consistently reflect them.
Qualifications

- Strong consultative sales, follow-up, relationship-building, and objection-handling skills, with the ability to balance conversion goals and compassion.
- Exceptional empathy, emotional intelligence, discretion, and professionalism when communicating with people experiencing stressful or sensitive family circumstances.
- Excellent customer service, telephone etiquette, and written and verbal communication skills.
- Ability to communicate the firm's value and processes confidently without providing legal advice or making guarantees about outcomes.
- Strong organizational skills, attention to detail, and commitment to accurate and timely data entry.
- Ability to manage multiple priorities, follow established processes, and take ownership of follow-up tasks through completion.
- Proficiency with Microsoft Office, email and calendaring platforms, Adobe, and the ability to learn client-management and lead-management systems.
- Ability to work effectively within a collaborative, accountable team environment.
- Previous experience in sales, client relations, intake, customer service, professional services, or a legal setting is preferred.
