About This Role
At On-It, you sit at the center of our delivery engine. We're a Tampa-based boutique facilities management company serving blue-chip clients across all 50 states in seven industries; restaurants, retail, salons, and more. Every day, our clients count on us to keep their facilities running. As a Client Operations Coordinator, you'll own that promise: taking reactive and emergency work orders from intake to close, coordinating technicians, managing vendors, keeping clients informed, and making sure nothing falls through the cracks.
This isn't a construction project management role and you don't need a PM background. It's a fast-paced, high-volume coordination job; think running a busy shift, a store, or a game day, but for facilities work orders across the country. What You'll Own
- Handle 40+ work orders per month across reactive and emergency jobs; volume, speed, and consistency are the baseline.
- Own each work order end-to-end: intake, technician assignment, vendor coordination, client communication, documentation, and close.
- Source technicians and get multiple bids on every applicable project, never single-source, always find the best fit.
- Write proposals and cost estimates, maintain margin discipline, and flag any job that’s escalating before it becomes a problem.
- Keep your pipeline complete, organized, and current at all times; clean data is non‑negotiable here.
- Negotiate vendor pricing and collect compliance documents (W9s, COIs) on every project.
- Resolve billing issues and work order holds proactively; don't wait to be told something is stuck.
- Maintain CRM, portals, and project records across all active accounts.
- Participate in occasional on‑call rotation and represent On‑It with professionalism every time.
What Success Looks Like in the First 90 Days
Days 1–30 · Onboard & Orient
- Learned On-It's culture, team structure, tools, and chain of command.
- Completed all initial training and onboarding tasks.
- Shadowed the Team Leader and 2nd in Command on active jobs.
Days 30–60 · Apply & Contribute
- Independently managing assigned work orders with minimal escalation.
- Sourcing techs and acquiring multiple bids with consistency.
- Communicating effectively within the chain of command.
Days 60–90 · Perform & Integrate
- Consistently hitting 40+ work orders per month.
- Maintaining a clean, organized pipeline with no gaps.
- Proactively identifying and addressing job‑level challenges before they elevate.

- Bachelor's degree
- Tampa Bay residency; this role is in‑office Tuesday through Thursday in Ybor City.
Bonus Points
- Vendor negotiation or subcontractor management background.
- Multi‑site or multi‑account experience (store district, regional ops, athletics conference, etc.).
- Any hands‑on experience with plumbing, electrical, HVAC, or general repairs genuine curiosity about how things work matters here.
Compensation & Benefits
- Base salary: $60,000, plus performance‑based incentive (10% commission on GP above monthly threshold).
