We plan and install complete home automation systems for high-end residential clients intelligent lighting, motorized shading, multi-room audio/video, networking, and whole-home control. Projects move fast, clients expect a lot, and every detail matters.
We're a close-knit team that takes real pride in what we build. To keep everything running smoothly, we need someone in the office who can hold the whole operation together.

The Opportunity

We're looking for a Project Coordinator to be the organizational backbone of our project operations. You\'ll work alongside our Project Managers to keep jobs on track managing documentation, tracking procurement, coordinating with field teams, and making sure clients are always in the loop.

This isn't a background role. You'll be involved in projects from kickoff to closeout, and sales, engineering, field techs, vendors, and clients will all come through you at some point.

What You\'ll Do
  • Keep Projects on Track
    • Support PMs with scope definition, resource planning, and scheduling
    • Build and monitor project schedules to hit every client deadline
    • Track submittals, drawings, sub-permits, change orders, and closeout packages
    • Maintain clean project folders so billing and closeout are never a scramble
  • Be the Communication Hub
    • Act as the main point of contact between clients, vendors, subs, and internal teams
    • Keep clients informed with proactive updates no one should have to chase us for a status
    • Flag roadblocks early and help PMs resolve them before they impact the job
  • Manage Procurement & Logistics
    • Coordinate purchasing requests and track equipment from order through delivery
    • Verify AV components and rack builds meet project specs before going to the field
    • Work with PMs to navigate back orders and adjust timelines accordingly
  • Support the Field Team
    • Coordinate site access, scheduling, and documentation so techs can show up and work
    • Handle COI and insurance requirements for building access
    • Review as-built drawings and punch lists at project closeout
  • Handle Admin & Financials
    • Assist PMs with cost tracking, change order processing, and financial reporting
    • Keep records organized and up to date to support accurate billing

What We\'re Looking For
Must-Haves
  • 1–3 years in project coordination, operations, or a similar role (AV, construction, or IT is a great fit but not required)
  • Strong organizational skills managing multiple priorities without losing the details
  • Clear, professional written and verbal communication
  • Quick to learn new tools and systems
  • Resourceful, self-directed, and reliable
  • High School diploma or GED required; associate\'s or bachelor\'s a plus
Great to Have
  • Familiarity with AV systems or technical integration work
  • Experience with technical drawings, submittals, or design documents
  • Background in procurement or vendor management
  • Experience with change orders, permits, or project closeout documentation
  • Bilingual (English/Spanish) — a real plus in Miami
