Job summary

It’s A Secret Med Spa is seeking a Client Concierge to warmly greet clients in person and by phone, educate them on services, and manage front desk tasks with a smile.

You will maintain a clean, professional facility, assist providers with scheduling, and ensure accurate POS and staff information while following HIPAA and company policies. This role requires weekend availability and a proactive, energetic team player with strong communication.

Qualifications

• 1 year of customer service experience required.
• Flexible schedule with the ability to work weekends.
• Prior med spa or medical office experience preferred.
• Excellent written and verbal communication skills.
• Ability to multi-task while being attentive to clients and flexible to business needs.
• Ability to work as part of a team and take initiative.
• Enthusiastic, friendly and energetic personality with a genuine desire to provide outstanding service.
• HIPAA confidentiality and company policy adherence.
• Must be able to reach above shoulder height, crawl, kneel, and push/pull up to 50 lbs.
• Microsoft applications proficiency.
• Bilingual preferred.

Responsibilities

• Greet clients in person and over the phone, and educate them about services.
• Handle front desk duties: check-in/out, calls, greet clients, manage inventory and supplies.
• Maintain a clean, professional environment throughout the facility.
• Assist providers and managers with scheduling and appointment books.
• Follow company policies to ensure streamlined location operations.
• Ensure POS system is updated with client appointments and staff information.

A Day in the Life of the Client Concierge

• Warmly greeting clients in person and over the phone. Providing basic knowledge and education about our wide variety of services.
• Manage front desk duties such as checking patients in/out, answering phone calls, greeting clients, overseeing inventory counts, and keeping supplies fully stocked while ensuring a positive and warm experience for our clients
• Maintain a clean and professional environment throughout the facility
• Assistant providers and managers with client scheduling and maintaining the appointment books.
• Comply with all company policies and procedures to ensure streamlined processes within the location
• Ensure POS system is managed effectively and accurately with all client appointment and employee information added.

Required Skills, Qualifications, and Experience

• Previous customer service experience (1 year) required
• Flexible schedule with the ability to work weekends
• Previous experience working in a med spa or medical office preferred
• Excellent written and verbal communication skills
• Ability to multi-task while being attentive to clients and remaining flexible to the needs of the business
• Ability to work as part of a team and take initiative
• Enthusiastic, friendly and energetic personality with a genuine desire to provide outstanding service
• Must maintain patient/client confidentiality in accordance with HIPAA regulations and company policy
• Must maintain a high level of integrity with a strong ethical foundation
• Must be able to reach above shoulder height, crawl, kneel, and push/pull up 50 lbs.
• Must have a working knowledge of Microsoft applications
• Bilingual preference given
• Other duties as assigned
• Must work a minimum of 30 hours per week
