Base pay range

$31.25/hr - $36.05/hr

We are seeking a detail-oriented and proactive Client Billing Specialist to join our Finance team. This role plays a key part in ensuring billing accuracy, timely invoice delivery, and strong alignment with client teams. The ideal candidate thrives in a fast-paced, collaborative environment, demonstrates strong analytical thinking, and is committed to delivering exceptional service and operational support.

Job Responsibilities

  • Ensure invoices are issued in line with client contracts, agreed billing terms, and internal finance processes within the monthly billing cycle.
  • Ensure accuracy of client rates, out-of-pocket expenses (OOPs), and contracted values with high attention to detail to ensure billing accuracy.
  • Respond promptly and professionally to billing-related inquiries from internal and external stakeholders.
  • Collaborate cross-functionally with client service teams and project management to validate billing inputs, resolve discrepancies, and ensure invoice accuracy.
  • Provide clear, concise, and customer-friendly responses when communicating with internal teams.
  • Identify and flag projects lacking proper documentation or billing setup to prevent delays or inaccuracies.
  • Monitor active projects to anticipate billing needs and signal to client teams when budgets are approaching limits ("running hot").
  • Compare and reconcile actuals, budgets, and client-issued invoices to ensure consistency across financial records.
  • Analyze and investigate billing discrepancies to provide root cause analysis and recommendations for resolution.
  • Develop strong working relationships with client service and project management stakeholders to streamline billing coordination.
  • Share recurring billing system or process challenges with manager to support ongoing improvements.
  • Display sound judgment in managing workload, making decisions, and balancing competing billing priorities.
  • Confidently navigate the Accountability (Accounta) platform for billing, reporting, and project data retrieval.
  • Gain a strong baseline understanding of monthly and weekly financial reports, including insights from Accountability.
  • Leverage financial tools and data to provide billing insights that support internal decision-making and client transparency.
  • Participate in the monthly revenue recognition exercise as a part of the monthly close process.

Desired Skills and Qualifications

  • 1–3 years of billing, accounting, or finance operations experience, ideally in a service-based or communications agency.
  • Demonstrated attention to detail, particularly in reviewing financial data and contractual billing terms.
  • Strong communication skills, with the ability to explain billing concepts clearly and diplomatically.
  • Ability to work effectively with cross-functional teams and build rapport with both finance and client-facing roles.
  • Analytical mindset with a proactive approach to identifying and resolving billing issues.
  • Experience using finance platforms such as Accountability (Accounta) or similar project accounting tools.
  • Proficiency in Excel and comfort working with data reconciliation tasks.
  • Familiarity with project budgets, scopes of work (SOWs), and time/material billing models preferred.

The anticipated hourly rate for this position will be $31.25-$36.05/hour. This position is eligible for overtime pay. This is based on job-related factors such as: years of relevant experience, qualifications and/or certifications. Spectrum reserves the right to modify this pay range at any given time.
