Job summary

Union County Community Action, Inc. in Hamlet, NC is seeking a Clerk/Receptionist to manage the Main Lobby for Head Start/ Early Head Start. You will greet visitors, route inquiries, perform data entry, and support daily office tasks.

The role requires a GED or high school diploma, 6 months to 1 year of related experience, strong keyboard skills, and the ability to handle CACFP and enrollment records in accordance with NC regulations.

Qualifications

Responsibilities

  • Greets all visitors and families at the Main Lobby.
  • Directs visitors and families to appropriate staff.
  • Enters demographic data into computer (CACFP meal attendance & regular child attendance).
  • Maintains CACFP meal reimbursement records.
  • Maintains child enrollment files to ensure NC Day Care Regulations compliance.
  • Answers phone and routes calls to staff.
  • Completes DSS Day Care and Transportation reports monthly.
  • Enters information into Child Plus (family data, attendance).
  • Types memos and letters as needed.
  • Assists with daily operations and classroom ratio duties as determined by Site Manager.

SUMMARY

Responsible for customer service, computer data entry, and general office duties for the Main Lobby at the Head Start/Early Head Start Center.

ESSENTIAL DUTIES AND RESPONSIBILITIES

include the following. Other duties may be assigned.

Primary
  1. Greets all visitors and families at the Main Lobby.
  2. Determines needs and directs visitors and families to appropriate staff.
  3. Enters demographic data into computer (CACFP meal attendance & regular child attendance).
  4. Maintains records re: meal reimbursement program (CACFP).
  5. Maintains files re: child enrollment to ensure compliance with NC Day Care Regulations.
  6. Answers phone and directs callers to appropriate staff.
  7. Attends all required pre-service training and staff meetings.
  8. Completes DSS Day Care and Transportation reports on a monthly basis.
  9. Checks staff attendance daily and emails daily staff attendance report to management.
  10. Enters information into Child Plus, such as family information, day care, attendance, etc.
Secondary
  1. Types memos, letters, and other projects as needed.
  2. Assists with daily operations by serving in classroom ratio as needed and as determined by the Site Manager. This includes assisting in operations by providing restroom breaks and other brief breaks to classroom ratio staff as determined necessary by the Site Manager.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED), EDU 119; and six months to one-year related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITY

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

OTHER SKILLS AND ABILITIES

Incumbent must demonstrate a working knowledge of master telephone systems, desktop computer, related software, printer, calculator, copier, risograph, and fax.

OTHER QUALIFICATIONS

Employee must pass an annual physical, TB screening, and submit to random drug screenings.

CERTIFICATES, LICENSES, REGISTRATIONS

Incumbent must have a valid driver's license.
