Job Description
Essential Job Functions
- Support the daily work schedule for facilities and custodial staff to ensure that all work assignments are properly communicated and disseminated.
- Process and monitor newly received and active work order requests; accelerating those that are emergency in nature to the appropriate individuals.
- Enter necessary updates and work assignment revisions into the Facilities Management System to provide accurate and reliable information regarding the status of a request.
- Prepare forms, reports, proposals, presentations, and other related documents needed to support the Facilities department.
- Answer the telephone and greet visitors, using initiative and sound judgment, to evaluate and determine the referral needed. Immediately elevate emergency calls to the appropriate individuals. Use the departmental radio system to relay important messages to facilities employees.
- Responsible for all aspects of the facility’s purchase order and/or direct order process including, but not limited to, proper processing, requisition number assignment, obtaining proper signatures, ensuring proper account balances, verifying packing slip information, and checking on payment status and order discrepancies.
- Assist in inventory management including tracking equipment repairs.
- Order and organize supplies as needed including delivery to centers.
- Establish and maintain departmental databases including the key distribution system and the issuance of college parking permits.
- Maintain departmental files and inspection/regulatory records of all College buildings; responsible for the upkeep of all departmental procedure manuals and handbooks; create, monitor, distribute and file monthly facilities financial and utility reports; has responsibility for the maintenance of the facilities department master task calendar.
- Assist with the dispatch of the College vehicles for requested travel.
- Serve as the Secretary of the College’s safety committee by taking meeting minutes, providing clerical support, coordinating and scheduling all safety committee meetings, communicating with all committee members, and assisting with related committee assignments.
- Assist in maintaining the Disaster Recovery/Business Continuity database. Communicate with stakeholders as needed.

- Perform additional grade-level support duties as assigned.
Knowledge, Skills, and Abilities
- Demonstrated knowledge of Microsoft Excel and Word software required.
- Demonstrated knowledge of professional office skills and procedures required.
- Proficient verbal and written communication skills.
- Read, comprehend and follow instructions/work orders.
- Ability to consistently provide excellent customer service.
- Ability to organize and prioritize work assignments, including managing multiple projects/tasks concurrently and meet varied deadlines.
- Identify problems, investigate root causes, make recommendations and assist with problem solving.
Required Qualifications
- High school diploma or equivalent required
- Two years of work-related experience required
- Valid driver’s license required
- Ability to obtain PA Child Abuse History Clearance, PA Criminal Record Check Clearance, and FBI Federal Criminal History Record Clearance are required.
Preferred Qualifications
- Associate’s degree in a related field preferred
