With rapid expansion ahead, we're seeking a highly experienced Executive Assistant to support our Co-Founder & Chief Operating Officer (COO).

About the Role

We are hiring a seasoned Executive Assistant with a proven track record of supporting C-level executives in high-growth companies. The ideal candidate is operationally minded, experienced in scaling organizations, and comfortable navigating both strategy and execution. You will play a key role in enhancing operational efficiency, implementing SOPs, conducting audits, and ensuring seamless coordination across teams.

This role requires a proactive problem-solver who anticipates needs and manages high-level projects, with direct exposure to executive decision-making. If you thrive in fast-paced environments and have supported executives through growth phases, this is your opportunity to contribute at a strategic level.

Key Responsibilities
  1. Executive Support & Calendar Management
  2. Provide comprehensive administrative support to the COO.
  3. Manage a dynamic calendar across multiple time zones.
  4. Anticipate conflicts and resolve scheduling challenges.
  5. Prepare detailed agendas and meeting materials.
  6. Attend select meetings to capture key action items and follow-ups.
  1. Operational Support & SOP Management
  2. Develop, refine, and maintain Standard Operating Procedures (SOPs).
  3. Conduct regular SOP audits to identify areas for optimization.
  4. Implement process improvements across departments.
  5. Ensure the team follows updated procedures for operational excellence.
  1. Audit & Quality Control
  2. Perform routine SOP audits to ensure process compliance and efficiency.
  3. Review client-facing calls to assess service quality and gather insights.
  4. Provide feedback and recommendations for improvement (full training provided).
  1. AI Utilization & Continuous Learning
  2. Leverage AI tools to automate workflows and enhance productivity.
  3. Develop and maintain custom GPTs tailored to internal processes.
  4. Research new AI applications to optimize operations.
  5. Act as a thought leader for AI integration within the organization.
  1. Marketing & Creative Support
  2. Collaborate with the marketing team on copy and design tweaks.
  3. Review marketing campaigns and creatives for brand alignment.
  4. Provide feedback on copywriting, tone, and visual consistency.
  5. Ensure marketing materials reflect TCC's voice and value proposition.
  1. Project Management
  2. Coordinate with cross-functional teams for timely project execution.
  3. Track project progress, identify issues, and ensure accountability.
  4. Support operational and strategic projects led by the COO.
  1. Research & Decision Support
  2. Conduct research on competitors, vendors, and technologies.
  3. Present insights and recommendations to support decision-making.
  4. Evaluate potential partnerships, tools, or platforms for efficiency.
What We're Looking For
  • Proven experience supporting C-suite executives in high-growth environments (5+ years preferred).
  • Operational expertise in managing SOPs, workflows, and audits.
  • Strong understanding of AI tools, including creating custom GPTs.
  • Experience reviewing marketing content and ensuring brand consistency.
  • Highly proactive, resourceful, and independent.
  • Strategic thinker with excellent communication skills.
  • Time zone alignment with EST, CST, or MST preferred.
