Job description

The Chief Clerk for Registration Services will act as a primary resource for students, faculty and staff. The Chief Clerk is responsible for student registrations, guiding students and alumni through the transcript ordering process, and updating a student’s academic program within the student information system (Banner) upon request.

This is a service-oriented position requiring attention to detail as well as exemplary customer service in all situations.

Function is in a high profile service area which will require cross-training with other service offices. Extensive knowledge of BANNER needed to input data as well as understand and troubleshoot issues.

Position requires a clear understanding of FERPA regulations and the capability of assessing a problem and assisting a student towards resolution.

This position is located on the Chicago Campus and reports to the Assistant Registrar of Registration Services. As a new hire, you will become a member of OPEIU local 39 and the hourly rate is $21.83, as outlined in the OPEIU local 39 union contract. The hourly rate is subject to any contract increase.

The work schedule for this position is Monday-Friday, 8:30 am-5:00 pm. This position is onsite and not eligible for hybrid or remote work.

Supervision/Direction: Individuals at this grade level will have the ability to think independently and make decisions. Individuals are able to work in a semi-structured environment with limited supervisor involvement.

Responsibility for Others: Individuals working at this grade level may train and monitor the workflow for other employees including part-time employees and other clerical employees. While clerical employees may oversee the work of others, they may not have responsibility to hire, discipline or terminate.

Problem Solving, Follow-up, Decision- Making and Planning: Individuals at this grade level have the ability to assess situations and determine solutions that may or may not already exist. Individuals must understand the impact of problems in a larger context and develop appropriate solutions. Individuals at this grade level make short-term plans, manage multiple tasks and prioritize allowing work to be completed on a timely basis.

Level of Interaction & Confidentiality: Individuals at this grade level will likely interact with students, visitors and employees, both in-person and on the telephone. Individuals provide service that may require the ability to creatively problem-solve. Individuals must also have the ability to communicate clearly and effectively both orally and in writing.

Equipment – Supplies & Maintenance: Individuals at this grade level must demonstrate basic skills with office equipment, including telephones, copiers, and facsimile machine. Individuals may have responsibility for maintaining equipment and supplies. Individuals at this grade level may be required to effectively use a 10-key calculator by touch.

Education and Work Experience: Individuals at this grade level must have completed a minimum of one-year college (30 credit hours) and a minimum of two-years professional office experience. One-year college education may substitute for one-year office experience and vice-versa.

Preferred Qualifications

Previous experience working with Banner ( SIS ) is a plus.

Equipment Operated

Basic office equipment (desktop computer, copier/ multi-function device, fax and telephone).

Working Conditions

Normal climate-controlled office environment is provided. Job is largely sedentary, but there is a need to move about the office and buildings frequently. Occasional bending, stooping, lifting, pushing and/or pulling is required (typically less than 10 pounds of weight or pressure). Regular use of desktop computer is required, calling for frequent hand/wrist movement and repetition. Moderate level of stress. Occasional travel within the local or regional setting may be required.

Duty and Responsibility

Serve as the initial contact for students, faculty, and staff for the Registrar’s Office via the phone and in person.

Assist students with online registration and resolve issues related to registration.

Process transcript requests from the online applications and walk-in requests using Banner.

Assist with the upkeep and maintenance of Academic Records within BANNER and process enrollment verifications.

Take student ID pictures, track ID cards and ribbon stock for ID system, key information and confirm valid IDs. Inform security of any access issues.

Scan and index course selection worksheets, grade update forms, change in registration forms and other office forms using BDMS . Keep ample stock of forms. Track the purge dates for the hard copies and purge as required.
