Job description

The Chapel Administrative Manager is responsible for maintaining excellence in the service logistics of University Chapel, UnChapel, and Special Events and serves as the main administrator of all Campus Ministries activities. The Chapel Administrative Manager is a dynamic and integral role in Campus Ministries, functioning alongside the Director of Campus Ministries and other staff to foster Christian community, cultivate spiritual growth, and equip Regent students to fulfill the Great Commission in every vocation.

Work Location: Virginia Beach, VA
Salary: $42,500 - $45,000 annually
Essential duties:
  • Oversee University Chapel and UnChapel Service Logistics
  • Create and work with Executive Director to confirm a full calendar of sermon topics, sermon series, speakers, call to worship providers, announcement providers, sponsors, worship providers, and benediction providers for each academic year.
  • Confirm all service participants, sponsors, etc.
  • Handle pre-service production logistics: Run sheets, announcements, liturgical elements, PowerPoint templates, speaker biographies, and communication of media needs.
  • Coordinate all parties involved, including departments, staff members, or individuals.
  • Interact with speakers and service participants (in-house or visiting), including managing speaker packets (biographies, media requests/preferences), guest travel itineraries, and logistics.
  • Ensure smooth service flow, including transitions and speaker coordination.
  • Manage hospitality aspects (green rooms & supplies, lobby setup/teardown, etc.).
  • Coordinate service aspects such as greeters, security, attendance, and food services.
  • Handle details regarding contracts, honorariums, W9s, and other speaker information.
  • Ensure legal bases are covered for all services, including obtaining media releases from all speakers, ensuring CCLI accounts remain active and up to date, etc.
  • Manage Social Media posts weekly.
  • Keep the Campus Ministries webpage up to date.
  • Oversee CM media interns and ensure collection of media assets at services.
  • Manage the ministry@regent.edu email account with responses or forwarding to appropriate recipients.
  • Assist in the management of third-party apps such as Planning Center Online, Survey Monkey, Qualtrics, SermonShots, Instagram, Facebook, Buffer, Canva, etc.
  • Assist with purchasing needed supplies for office and events.
  • Submit all room reservations and event setup forms for all Campus Ministries events.
  • Oversee contract collection from all student leaders via Docusign and ensure that all student leaders and event participants have up-to-date paperwork (liability waivers, etc.).
  • Provide oversight for Graduate Assistants/Student Workers, as well as oversight/scheduling for ministry, outreach, and administrative interns in partnership with the Executive Director and Assistant Director of Discipleship.
  • Oversee hiring and payment for temporary contract workers as needed for worship team or other CM needs.
  • Assist in other administrative duties as needed, such as mailing letters or supplies, identifying administrative needs for new programs, and providing support for other CM staff in administrative tasks.
  • Assist with data collection and tracking for all Chapel and UnChapel services, as well as relevant special events.
  • Administrate Annual events such as the Church Fair and Pastoral Luncheon, August Training, Reboot, End of Semester Celebrations, Student Leader Orientations, College Preview Weekend UnChapels, and Mission Trips.
  • Oversee recruiting, advertising, and schedule creation/management for all Serve Team students, for all Campus Ministries services.
  • Responsible for equipping the Serve Teams for Chapel and UnChapel production.
  • Provide student care and cultivate team unity through discipleship and fellowship.
  • Delegate service tasks to enrich, equip, and empower team members as leaders.
  • Create growth opportunities for Serve Team Members, such as leading UnChapel service production and managing service announcements/transitions.
  • Curate list of and cultivate relationships with external church, CM+, ministry, donor, and outreach partners in partnership with Executive Director. This may include CBN and Operation Blessing.
  • Assist in overseeing CM+ logistics, including space reservations and spiritual life student organization event approvals as needed.
  • Serve as the Point of Contact for all Sponsors.
Qualifications:
  • Bachelor's Degree required, Masters in Divinity or Organizational Leadership preferred
  • Prior ministry experience
