Position requires NYS Oncology Data Specialist Certification

MAIN FUNCTION:

The New York State Certified Oncology Data Specialist (ODS) is responsible for identifying, registering, abstracting and maintaining complete and accurate data for all cancer patients diagnosed and/or treated within the Arnot Health System. This includes reporting responsibility for Arnot Ogden Medical Center, St. Joseph’s Hospital, and Ira Davenport Hospital. The ODS analyzes data, initiates, and conducts patient care evaluation studies, provides educational information to Cancer Committee, Medical Staff and Administration as needed. The ODS is also responsible for the day-to-day activities of the Follow-up associate. All responsibilities are carried out following the guidelines set forth by NYS Department of Health (NYSDOH) and American College of Surgeons, Commission on Cancer (ACSCoC). Reports to the Oncology Data Specialist reports to the Director of the Falck Cancer Center and/or designee.

DUTIES AND RESPONSIBILITIES:
  1. Is responsible for the day-to-day operations of the Tumor Registry Department, including management of the data base system, ordering supplies, maintaining communications, developing, and maintaining policies/procedures and supervising and coordinating the activities of the follow-up associate.
  2. Develops and maintains thorough system to identify and incorporate all mandatory cases into the cancer registry including reportable list of diagnoses. Must have thorough understanding of inclusion/exclusion criteria of the registry as required by the NYSDOH.
  3. Abstracts cases with all required data as outlined in the NYS Facility Reporting Manual. Utilizes multiple sources when analyzing patient information to ensure accurate data abstracting. Fully understands and assigns medical coding according to the ICD-O-3 classification system. Enters all abstracted data in the Oncology database.
  4. Uses a variety of methods to research and record follow up of all cancer patients for their lifetime as required by NYSDOH. Maintains a system to ensure annual follow up of all cancer registry patients and resolves delinquent cases.
  5. Ensures various quality assurance measures by maintaining follow up rates for eligible patients. Selects random cases for quality assurance reviews. Perform regular audits to ensure data accuracy and completeness. This involves reviewing data for completeness, consistency, accuracy, and pursuing additional information when necessary.
  6. Maintains confidentiality and security of patient data stored in Tumor Registry files. Responsible for ensuring that compliance with HIPAA Regulations is met and maintained.
  7. Assists and contributes to Cancer Committee as required to meet the standards set forth by the ACSCoC.
  8. Assembles and disseminates Tumor Registry data and conducts short- and long-term audits as required. Prepares routine and special statistical reports; provides data on cancer patient population for Medical Staff and administrative purposes.
  9. Consults with physicians and other researchers involved in cancer-related studies and research projects with guidance in the use of Tumor Registry resources.
  10. Conducts studies, makes recommendations for, and participates in educational activities related to cancer care within the Medical Center and in the community. Reviews and disseminates reference materials and current literature relative to the Tumor Registry as appropriate.
  11. Familiar with and demonstrates Quality in Action principles and participates in the process as appropriate.
  12. Provides educational opportunities pertaining to Tumor Registry services.
  13. Attends Multidisciplinary Oncology Conferences (tumor board), Cancer Committee, workshops, training and educational sessions to maintain Oncology Data Specialist credentials.
  14. Demonstrates professional image, attitude, and behavior consistent with the philosophy of the Arnot Ogden and FCC. Consistently maintains good interpersonal and communicative skills with hospital personnel, FCC staff, physicians, patients/families, and the general public.
  15. Is responsible for attending all annual mandatory educational programs as required by position.

EDUCATION:

Required: High School graduate.

Preferred: Bachelors degree, Associates degree or certificate program completion related to medical records technology, computer technology or business. Oncology Training also preferred.

EXPERIENCE:

Required: Successful completion and continued educational maintenance as a Certified Oncology Data Specialist.

Preferred: Registered Health Information Technician (RHIT) credential and 2 years experience in cancer registry or related health information experience; or equivalent combination of education and experience.

PHYSICAL DEMANDS:

Routine Office job. Ability to frequently lift 15lbs, and occasionally lift 25lbs.

EXPOSURE CATEGORY:

Category III. Tasks that involve no exposure to blood, body fluids, or tissues. And Category I tasks are not a condition of employment.
